About the position: The Associate, Product Analysis and Allocation will analyze product donation offers from pharmaceutical and other donor companies to determine recommended acceptances, considering specific constraints based on receiving countries and organizations. They will optimize resource allocation across regional partners around the globe, balancing available inventory and partner priorities. Additionally, they will be responsible for producing actionable analysis on various components of Americares’ supply chain and Access to Medicine (A2M) program. Key expectations for this role include: In the first 90 days, the Associate will: - Learn and live the Americares values - Complete all required new hire onboarding trainings - Learn relevant systems and processes - Build relationships with key stakeholders - Evaluate basic offers - Develop familiarity with shipment building In the first 6 months, the Associate will: - Support and manage the acceptance process for medications, medical supplies, and other Gift-in-Kind (GIK) donations, including offer assessment and decision-making - Provide offer acceptance recommendations to the Corporate Product Donations team based on product characteristics, donor restrictions, course treatments, country parameters, shipping history, prior product requests from regional partners, partner priorities lists, medical assessment - Execute product offer processes to our regional partners as needed, compile responses and recommend product acceptances and allocations - Master relevant systems and processes - Maintain strong working relationships with key stakeholders - Evaluate complex offers - Be proficient in shipment building In the first year, the Associate will: - Independently evaluate basic and complex offers and shipment building - Own maintenance of key systems and databases - Deep understanding of processes with the ability to identify areas for improvement - Deep understanding of the organization, stakeholders, and strategic goals Duties and Responsibilities: - Actively model and contribute to Americares values, work culture and mission - Engage in and contribute to team spaces with openness, global competencies, and a growth mindset Support Offer Acceptance Process: - Support and manage the acceptance process for medications, medical supplies, and other Gift-in-Kind (GIK) donations, including offer assessment and decision-making - Provide offer acceptance recommendations to the Corporate Product Donations team based on product characteristics, donor restrictions, course treatments, country parameters, shipping history, prior product requests from regional partners, partner priorities lists, medical assessment. - Execute product offer processes to our regional partners as needed, compile responses and recommend product acceptances and allocations Gift in Kind Allocation and Shipment Planning: - Provide analysis and recommendations for optimal allocation of products based on international partner profiles, donor requirements/restrictions, and shipping schedules - Lead weekly order review meetings and collaborate with team members to build shipments and adjust allocations based on feedback from Global Partnership teams. - Generate inventory reports and analysis (slow moving inventory, short dated, historical allocation reports); make recommendations for assignment options and reallocate as needed. Information Management: - Maintain well-rounded understanding of regional partners, including priorities, historic shipments, and prior requests, to inform allocation decisions - Support Corporate Product Donations and Distribution staff by providing recommendations on inventory management to optimize allocation and shipping options - Generate reports, dashboards, and analysis to support internal stakeholders and donor reporting. Monitor and manage all trackers related to offer requests, document requests, and 3PL deliveries. Other: - Responsible for management of interns and liaison for intern projects as needed - Primary GIK coordinator and liaison for Donor Engagement activities - Assistance with various administrative tasks such as scheduling meetings, document editing, etc., as required - Some limited travel to create connectivity and first-hand experience with partner GIK donation handling/management and donors, as well as Emergency Response work as needed by Cadre program. Deliverables: - Accurate and timely fact gathering to support product acceptance and product allocation assessments - Effective information management, including maintenance of product databases and reporting tools - Execution of GIK Process Management to ensure operational integrity and effectiveness - Other duties and responsibilities as assigned Competencies required for the role include: - Strong organizational skills and attention to detail - Proficiency in Excel and business intelligence software such as PowerBI and Tableau - Strong written and verbal communication skills, with the ability to present information clearly and effectively - Demonstrated ability to multitask, manage competing priorities, and meet deadlines with high-quality output - Ability to effectively organize, synthesize, and draw implications from data, to make data-driven decisions - Ability to work cross-functionally and collaboratively - Willingness to travel, as needed (up to 15%) US work authorization without restriction and 15% travel are required for this role. Candidates must be currently living in and will continue to live in one of the following states/territories: CT, DC, FL, GA, IL, MD, MA, NC, NJ, NY, OR, PA, Puerto Rico, TN, TX, VA, or WA.
