Program and Operations Assistant
Health and Reentry Project (HARP)
• Manage the schedule of HARP Executive Director and other executive team members • Coordinate meetings for HARP team members, key consultants, and advisory bodies • Take meeting notes and tracking key follow up items • Manage logistics for in person and virtual meetings and events • Support travel planning for HARP team members, including booking of air travel and hotel accommodations and supporting submission of expense report • Support onboarding of new vendors, consultants, and staff • Communicate with HARP’s Board of Directors and Advisory Committee as well as external partners and stakeholders • Maintain organizational documents (e.g. charters, organization charts, etc.) • Manage internal project management and tracking tools (e.g. contact lists and tools for tracking key conferences, events, and accomplishments) • Support development and implementation of operational policies and procedures • Other administrative support as needed
Job Requirements
- 3+ years of experience working in an administrative or operations capacity; nonprofit, policy, or government experience required
- Outstanding organizational skills and a track record of working independently on projects while supporting team projects and collaborative work
- Maintain confidentiality and handle sensitive information with discretion.
- Proficient with Google suite, Microsoft office, Zoom, and LinkedIn
- Experience with Asana or similar project management tools
- Ability to communicate with a broad range of stakeholders including senior-level professionals, national experts, policymakers with a range of political perspectives, people who have been incarcerated and staff who have worked in corrections, among others, with a high level of professionalism.
- Interest and/or experience, including lived expertise, in policy related to incarceration, corrections, public safety, and/or the role health care plays for people who are leaving incarceration
- Capable of working in a fast-paced, deadline-driven, growth-oriented, remote work environment
- Ability to travel for occasional in-person staff meetings
