We are seeking an Executive Coordinator to support the General Manager for North America and help drive our internal messaging strategy and the operating rhythm of the business. In this dual-impact role, you will manage high-level administrative operations and serve as a key champion of our team culture. You will ensure that executive priorities are clearly translated into engaging content that informs and inspires our North America team. This position requires a highly organized, detail-oriented individual with excellent communication skills and the ability to handle confidential information with discretion. Key Responsibilities Executive Operations & Strategic Support - Meeting Facilitation: Schedule, prepare agendas, attend key meetings to capture minutes, and ensure all follow-up action items are communicated and tracked to completion. - Departmental Interface: Act as the liaison between departments (HR, Marketing, Ops), tracking dependencies to keep strategic initiatives on schedule. Execute ad-hoc projects as assigned. - Priority Triage: Manage complex calendars with a "triage" mindset and schedule high priority and team meetings. Schedule complex travel as needed. Communications & Employee Engagement - Executive Messaging: Draft and distribute high-impact internal announcements, monthly newsletters, and leadership memos and materials. - Town Hall & Event Production: Lead the end-to-end planning of all-hands meetings, virtual happy hours, and team-building events, including agenda setting and technical facilitation. - Presentation Design: Create and refine presentations for key events and internal town halls. - Channel Management: Oversee internal platforms such as SharePoint and employee engagement tools to ensure information is timely and accessible. - Culture Stewardship: Support on-boarding, welcome new hires, and coordinate recognition for key milestones (work anniversaries, special recognition, etc.) to foster a sense of belonging. Required Qualifications & Skills Education: - Bachelor’s Degree: Preferably in Business Administration, Communications, or a related field or equivalent years of relevant experience. Experience: - Minimum of 3 years experience as an administrative role, preferably supporting C-level executives. Skills: - Advanced Writing: Ability to simplify complex concepts into clear, relatable narratives for diverse employee audiences. - High EQ & Diplomacy: Exceptional interpersonal skills to navigate sensitive office dynamics and serve as a trusted bridge between staff and leadership. - Proactive Approach: Demonstrated ability to be a self-starter in a dynamic multi-cultural environment. - Diplomacy & Discretion: Proven experience handling highly confidential information with absolute integrity and sound judgment. - Technical Fluency: Expert proficiency in Microsoft 365 (Word, Excel, PowerPoint) and internal communication tools like SharePoint. The Company pays a geographic differential of 110%, 120% or 130% of salary in certain areas.
