Role Description The Program Specialist supports efficient regional and statewide program operations by managing logistics, administrative processes, and data systems. The role coordinates trainings, member meetings, site visits, and legislative events while assisting with recruitment and onboarding of new AmeriCorps members. Through clear communication and strong organizational skills, the Program Specialist helps ensure smooth program implementation and team effectiveness. Responsibilities - Training Logistics and Administration - Support the planning, coordination, and execution of inclusive regional and statewide training sessions and member meetings. - Schedule venues and catering, organize and/or prepare handouts or materials, and arrange travel logistics or hotel accommodations. - Support logistical needs on the day of training, either in-person or virtual (at the direction of supervisor). - Monitor completion of member’s required training sessions and provide regular status updates. - Program Administration Support - Coordinate site visits and legislative requests, including but not limited to communication, scheduling, materials, and attendee support. - Manage regional team calendar and resources. - Support and manage program data requests. - Engage in site partner technical support, including but not limited to site agreement sharing and follow up, and other forms of technical support. - Provide additional support as needed to meet the goals of the team, such as research and creation of resources and spreadsheets. - Member Recruitment and Onboarding - Support the member recruitment process, working collaboratively with the centralized Talent Acquisition function. - Support for member onboarding follow up. - Other Duties as Assigned Qualifications - Associate’s degree or equivalent experience. - Minimum two years administrative assistance experience, or equivalent combination of education and experience. - Ability to focus while working on repetitive tasks. Attention to detail and commitment to accuracy. - Demonstrated success of working in a collaborative, team environment. - Familiarity with MS Office Suite and general comfort with web-based platforms. - Ability to work independently and adapt to changing circumstances; a self-starter with effective time-management skills. - Able to display high levels of customer service, responding promptly and thoroughly to the inquiries and needs of individuals both internal and external to the organization. Responsibilities - Cohort & Member Management - Provide regular support, feedback, and coaching to ensure a positive and productive service experience for a cohort of AmeriCorps members. - Monitor member performance, service hours, and professional growth; address concerns promptly and professionally. - Collaborate with on-site supervisor to manage member supervision, development, and performance. - Plan, facilitate, and deliver member training sessions and onboarding activities. - Facilitate and support career pathways in the sector, supporting members in their career pathways after their term of service. - Program & Site Implementation - Serve as the primary operational contact for assigned sites and site partners, building strong relationships to ensure open, effective communication. - Conduct regular site visits and check-ins to ensure smooth program implementation, address challenges, and foster engagement. - Partner with content experts to ensure program fidelity and to maximize outcomes. - Track compliance requirements, including member hours, paperwork, and evaluations; approve timesheets and provide corrective guidance as needed. - Support continuous improvement by identifying opportunities for program growth, expansion, and process enhancements. - Recruitment & Community Engagement - Conduct AmeriCorps member interviews, document notes, and make selection decisions for assigned regions. - Partner with Talent Acquisition and external organizations to strengthen recruitment pipelines. - Represent Ampact at community events, job fairs, and site visits to promote awareness and engagement with AmeriCorps programs. - Support marketing and media opportunities to elevate program visibility under the guidance of the marketing team. Qualifications - Minimum Education: High school diploma/GED required. - Minimum Experience: 3+ years of program management or implementation experience, ideally in a non-profit setting. - Strong collaboration and partnership-building skills. - Excellent interpersonal and problem-solving abilities; able to mediate conflict and exercise sound judgment. - Skilled at managing multiple priorities in a fast-paced environment. - Organized, goal-oriented, and deadline-driven. - Professional communicator with strong listening, public speaking (preferred), and writing skills. - Results-driven, adaptable, and solution-focused. - High emotional intelligence and self-awareness. - Proficient in MS Office and Excel; database and video conferencing experience preferred. • Build strong candidate pipelines through recruitment marketing, advertising, passive sourcing, and outreach. • Monitor application flow daily, addressing gaps to meet regional hiring targets. • Manage requisitions and candidate records in iCIMS; leverage platforms such as Handshake, LinkedIn, and community networks. • Develop and maintain partnerships with schools, workforce centers, and nonprofits to strengthen referral pipelines. • Represent Ampact through online engagement, events, and community presentations to promote AmeriCorps opportunities. • Manage the full candidate journey from application to offer, ensuring professional and timely communication. • Screen applicants for AmeriCorps eligibility and program fit; coordinate interviews and ensure protocols are followed. • Maintain accurate documentation of interviews, scores, and decisions. • Extend offers, finalize placements with program staff, and support smooth transitions to onboarding with Talent Operations. • Act as a trusted advisor to regional teams, aligning recruitment strategies with hiring goals and award timelines. • Collaborate with program staff, marketing, and TA colleagues to refine campaigns and messaging. • Provide transparent reporting on pipelines, forecasts, and progress to support MSY and budget planning. • Contribute to continuous improvement of national recruitment strategies and systems. • Other duties as assigned.
