Senior Meeting and Events Specialist
Stryker
• Lead the planning and execution of events ranging from 30+ attendees to 2,000+ participants • End-to-end event management including sourcing, planning, execution, and post-event evaluation • Develop and manage all aspects for assigned divisional meetings, approx. 40-80 a year • Coordinate all event details including attendee communications, registration, air and ground travel, hotel accommodations, agenda development, food and beverage, audio visual • Manage assigned business unit and/or additional projects as assigned • Define appropriate budget with financial partners and execute within that established budget • Ensure timely and accurate reconciliation of all invoices • Establish relationships with immediate team and internal customers for successful planning and implementation
Job Requirements
- Bachelor’s Degree is required
- 2+ years work experience in meeting, conference, or special event planning
- 2+ years of experience with contract negotiations with national hotels and vendors
- 2+ years of experience developing & maintaining relationships with internal customers, colleagues & industry contacts
- 2+ years of experience planning multiple back-to-back meetings
- Certified Meeting Planner or CMP certification is preferred

• Assist in planning and executing PLM’s Vision Dinners, including logistics, speaker coordination, guest communication, venue negotiations, volunteer coordination, table host recruitment oversight, and timelines. • Manage RSVP tracking, table assignments, seating, check-in, and financial partner experience flow. • Coordinate event volunteers and staff roles to ensure smooth and professional execution. • Support follow-up strategies to maximize post-event engagement and long-term financial partner cultivation. • Help coordinate other, smaller financial partner events throughout the year (table host update dinners, namestorming parties, etc.) • Overseeing event logistics, including venue coordination and event materials. • Maintain detailed records of partner interactions in CRM and Google Sheets, keeping donor databases and contact lists up to date. • Maintain consistent messaging and branding across all donor communications, keeping in alignment with the Executive Director’s vision and communication style. • Serve as a point of contact for inquiries via phone and email, maintaining professionalism and warmth. • Monitor and respond to emails and calls, providing timely and thoughtful responses. • Assist with general administrative duties, including data entry, document preparation, and CRM management related to key partner events and the Vision Dinner. • Support leadership and development efforts by performing additional administrative tasks as needed.

• Plan, lead, and execute 8–12 concurrent high-complexity events, including incentive trips, multi-day retreats, and high-production programs. • Serve as the primary strategic contact for clients, offering consultative guidance and creative solutions aligned to business objectives. • Manage all aspects of event execution: budget creation, venue and vendor sourcing, production, logistics, and reconciliation. • Oversee event budgets of $500K–$2M+, balancing client goals with BoomPop’s margin targets and cost efficiency. • Partner cross-functionally with Sourcing, Creative, Product, and Finance teams to ensure seamless delivery. • Mentor Event Managers by sharing best practices, reviewing plans, and helping solve complex challenges. • Identify and implement process improvements that enhance scalability, efficiency, and profitability across the Events org. • Lead post-event reviews to surface learnings and drive continuous improvement. • Model operational excellence, proactive communication, and a calm, solution-oriented approach in every client interaction.
