Role Description The Payroll Administrator I is responsible for the preparation, processing, and distribution of payroll while ensuring accuracy, compliance, and timely execution of all payroll-related activities. Duties include: - Maintaining and processing payroll records - Managing employee payroll changes such as new hires, terminations, and compensation updates - Supporting payroll tax reporting and state tax administration - Ensuring compliance with federal, state, and local wage and hour regulations - Collaborating with HR team members on daily departmental operations Qualifications - Associate's degree in Business, Human Resources, or a related field, or an equivalent combination of education and relevant work experience - Minimum of two (2) years of experience processing multi-state payroll in a fast-paced environment - Extensive knowledge of payroll administration, including payroll processing, balancing, internal controls, payroll taxes, and compliance with applicable federal, state, and local regulations - Working knowledge of accounting principles and practices - Proficiency in Microsoft Office Suite, including intermediate-level Excel skills; experience with HRIS systems required, with Dayforce experience preferred - Experience generating and analyzing reports; familiarity with Power BI or similar reporting tools preferred - Strong analytical, problem-solving, and critical-thinking skills with the ability to identify issues and implement effective solutions - Exceptional attention to detail, organizational skills, and time management abilities, with the capacity to manage multiple priorities and meet tight deadlines - Ability to work independently and collaboratively in a team environment, fostering cooperation and achieving results through strong working relationships - Excellent written and verbal communication skills with the ability to effectively interact through multiple channels, including email, phone, and chat, while maintaining professionalism and discretion when handling sensitive and confidential information - Flexibility to work varying schedules, including weekends, early mornings, and late evenings, as business needs require Requirements - Administer payroll operations by processing payroll accurately and timely, ensuring compliance with established schedules, organizational policies, and applicable government regulations - Manage employee payroll transactions by processing new hires, terminations, pay rate changes, and other payroll updates while maintaining data accuracy and integrity - Ensure compliance with federal, state, and local payroll, tax, wage, and hour regulations by monitoring requirements, applying best practices, and maintaining accurate payroll records - Prepare and submit state tax filings and quarterly tax reports while maintaining tax records and ensuring timely reporting and payment obligations are met - Maintain and reconcile payroll records, reports, and supporting documentation to ensure accurate payroll reporting, audit readiness, and record retention compliance - Support internal and external audits by compiling, reviewing, and providing payroll records, reports, and required documentation to auditors and regulatory agencies - Develop, compile, and analyze payroll- and HR-related reports, summaries, and data logs to support decision-making and respond to requests from senior leadership and Human Resources - Provide payroll-related technical support, troubleshooting, and guidance to employees, managers, and HR team members to resolve issues and improve understanding of payroll processes - Monitor payroll technology, data management, and security practices by maintaining current knowledge of industry trends, system enhancements, and regulatory developments to support continuous process improvement - Collaborate with Human Resources team members on daily departmental operations and special projects, performing additional duties as assigned to support organizational objectives - Work effectively with others in a team environment to accomplish organizational goals and to identify and resolve problems - Exhibit and adhere to the established Visual Comfort Company Values - Demonstrate commitment, dependability, punctuality, and adherence to agreed-upon schedule while maintaining a consistent presence in the workplace to effectively collaborate and communicate amongst co-workers and teams Benefits - Work-Life Balance: Monday – Friday, 8:30am – 5:00pm - Training & Development: A comprehensive and structured training program, complemented by ongoing education and opportunities for career advancement - Paid Time Off: Generous vacation accrual and paid time off policies - Holidays: 7 paid holidays per year, in addition to 2 floating holidays - Compensation: Competitive compensation plan - Health Benefits: Visual Comfort covers the majority of employee medical premiums, and offers competitive vision and dental coverage available starting the first of the month following your start date - Insurance: Company-provided life insurance and short-term disability coverage - Retirement: 401(k) plan with company matching up to 4%, available beginning the first of the month following your hire date
