Role Description As a Grants and Contracts Administrator (Remote), you will join the Campus Grants Management Team (CGMT) within the Office for Research and Innovation—a dynamic and growing unit dedicated to delivering exceptional service and compliant grant management. Lifecycle research administrators in CGMT are more than transaction processors; they are subject-matter experts and partners with their faculty in crafting excellent proposals and managing awards in accordance with sponsor guidelines. To be a successful grant administrator in CGMT, you must thrive in a fast-paced environment, manage multiple priorities, and be a strong critical thinker and problem solver. Pre-award activities include: - Assisting departmental faculty/PI in the development, preparation, and submission of research proposals. - Ensuring all applications meet agency and university guidelines, published timetables, and deadlines. - Ensuring proposals are entered and routed in a timely manner for further review. - Assisting with budget, budget justification, other support, and additional administrative documents. Post-award activities include: - Meeting with faculty regularly to provide updates and guidance. - Validating AAR for expenses. - Completing detailed reconciliation of assigned project budgets. - Preparing complex budget reports. - Preparing adjustments and corrections in assigned project budgets. - Closing out projects in line with university and sponsor guidelines. This position is responsible for managing and overseeing an assigned portfolio of complex grants and contracts with a firm grasp of rules and regulations, technical expertise, analytical skills, and an aptitude for using good judgment in applying grant management practices and procedures. We are particularly interested in candidates who work well in a fast-paced environment and are knowledgeable of sponsored research in an international setting. Qualifications - Education: Bachelor's degree preferred; research or grants education and/or certification is preferred. - Successful completion of Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke (online), Basic Compliance (online), Duke Human Research Training (online), Budget Development and Negotiation Training, and Industry Funded Clinical Research—Process for Contracts within the first six months of hire is required. - Successful completion of the Research Administration Academy (RAA) is expected. - No experience required with a directly related degree; prior experience in grants management, research administration, or financial analysis is highly preferred. Requirements - Strong analytical, critical thinking, and problem-solving skills. - High attention to detail with the ability to manage complex financial data. - Advanced proficiency in Excel and Microsoft Office. - Ability to manage multiple priorities in a fast-paced environment. - Knowledge of sponsored research regulations (preferred). - Strong communication and collaboration skills. - Customer service-oriented mindset. - Ability to make independent, sound decisions. - Adaptability with evolving systems and regulations.
