Job Requirements
- 10–15+ years of experience leading complex projects, programs, or transformation initiatives
- Proven success in large-scale corporate environments with executive-level stakeholder management
- Strong leadership, communication, and stakeholder management skills
- Ability to independently manage customer engagements in complex organizational environments
- Experience in highly regulated industries (e.g., railway, transportation, infrastructure, utilities)
- Background in organizational change and transformation management
- Experience in multinational corporations and matrix organizations
- Consulting experience and/or project management certifications (PMI, IPMA, PRINCE2, Agile/Scrum, SAFe)
- Professional fluency in German and English.

The Travel Program Specialist is a full-time role responsible for managing and executing all travel-related tasks for the organization. This individual will serve as the primary liaison for all travel needs, ensuring a seamless and efficient travel experience for all employees. The role involves a wide range of responsibilities, from setting up traveler profiles and managing travel credit cards to ensuring compliance with all travel policies and regulations. This position requires meticulous attention to detail, strong organizational skills, and the ability to provide exceptional support to travelers. Primary Responsibilities • Set up or update traveler profiles in the travel system using provided information. • Create, maintain, and manage standard and complex travel authorizations and vouchers. • Provide proactive trip planning support, including early coordination with staff, advance teams, and approving officials. • Manage all aspects of government travel cards (IBA/CBA), including setup, maintenance, reconciliation, and issue resolution. • Serve as the primary liaison with GSA SmartPay and Citibank, managing program updates and resolving issues. • Ensure adherence to all GSA SmartPay Program policies, procedures, and federal travel regulations. • Provide guidance on Federal Travel Regulation (FTR) and HHS Travel Policy during traveler interactions. • Manage the travel support inbox, including triage, prioritization, and follow-up. • Generate constructed travel cost comparisons and complete necessary forms for deviated travel. • Conduct comprehensive reviews of travel options to ensure compliance and alignment with mission needs. • Provide robust voucher support, including proactive receipt collection and follow-up on justifications. • Maintain detailed audit-trail documentation for all travel circumstances. • Monitor travel document status and proactively address any delays. • Track and report monthly work performed by major support category. • Facilitate and author commodity strategies for key inbound products and services • Partner with Legal to ensure terms are consistent with contractual requirements and incorporate those terms into contracts, such as MSAs and SOWs, negotiated with suppliers • Work closely with senior stakeholders to understand and document details of business and procurement requirements, and use those to identify and select suppliers for everything from security software to engineering services, securing the best possible terms such as price, quality of goods and services, schedule, etc. • Lead RFI and RFP initiatives, and aid and document cost savings efforts • Utilize systems and tools such as ERPs (Coupa), PowerBI, Atlassian, ServiceNow, and multiple AI models to create and refine procurement processes • Create purchase requisitions and orders for stakeholders, reconciling these with supply requests including administering Coupa and assisting Intermedia employees with Coupa processing and reporting • Reconcile invoices to contractual terms to resolve inconsistencies
