• Monitor, troubleshoot, and maintain active workflows, automations, and sequences • Ensure pipelines remain organized, accurate, and free from outdated opportunities • Maintain naming conventions across workflows, tags, custom fields, and pipelines • Audit and remove deprecated workflows and automations • Build and modify funnels, landing pages, forms, redirects, and CTAs • Develop new workflows with a strong understanding of trigger logic and business outcomes • Maintain integrations between GHL and external systems • Maintain task management and member assignment boards • Ensure ownership, statuses, and workflows remain accurate and updated • Build and maintain Monday.com automations including reminders, recurring tasks, and status triggers • Upload meeting notes and action items using provided processes • Monitor task completion and escalate overdue items when necessary • Maintain collections, installment records, and commission tracking systems • Compile weekly sales and marketing reports from multiple sources • Build and maintain leadership dashboards • Manage reporting structures, formulas, and data organization • Ensure key business metrics are accurately tracked and presented • Research content topics, industry trends, competitor activity, and market insights • Draft content frameworks, short-form video scripts, and content calendars • Utilize AI tools to assist with content planning and ideation • Schedule and publish approved content across multiple social media platforms • Support content consistency through effective planning and execution • Design, build, and maintain AI-powered business systems • Develop Claude Projects, ChatGPT workflows, and AI-assisted operational tools • Build multi-step AI workflows that automate repetitive business functions • Create AI agents that process inputs and generate structured outputs • Organize company knowledge, SOPs, frameworks, and internal documentation for AI utilization • Continuously optimize AI systems as business requirements evolve • Monitor and moderate Meta ad comments • Escalate issues when required • Maintain positive engagement and ensure adherence to moderation guidelines • Support strategic projects including: - Internal Knowledge Base development - Recruitment and hiring funnel automation - Evergreen coaching program implementation - AI-powered sales review and training systems - AI content generation systems - Client retention and engagement monitoring systems - Sales call scoring automation - Process mapping and workflow visualization
Job Requirements
- 3+ years of experience in operations, systems administration, automation, or technical virtual assistant roles
- Strong hands-on experience with GoHighLevel (GHL)
- Experience using Monday.com for project and workflow management
- Advanced proficiency in Google Sheets, formulas, and reporting
- Experience with automation tools such as Zapier, Make, or similar platforms
- Strong understanding of AI tools including Claude and ChatGPT
- Experience building AI workflows, automations, or AI-powered business systems
- Ability to manage multiple projects independently
- Strong problem-solving and analytical skills
- Excellent organizational and communication skills
- Experience working remotely with international teams
