Vendor & Contract Analyst

• Maintain a comprehensive contract management system and spreadsheet to track contracts, terms, and expiration dates. • Review, analyze, and negotiate contractual agreements with external vendors, including but not limited to service agreements, vendor contracts, licensing agreements, and lease agreements. • Collaborate with internal stakeholders, including legal, finance, and operations teams, to ensure alignment on contract terms and budget approval. • Monitor contract renewal dates, ensuring delivery of contractual obligations and identifying potential risks or issues. • Partner with vendors and key stakeholders to contract amendments, extensions, and terminations as required. • Maintain accurate and up-to-date contract documentation, ensuring files are organized and accessible for reference. • Provide regular reporting, such as updates within a Powerpoint presentation, on upcoming contracts renewals and current contract renewal status. • Submit and log invoices per prescribed workflow. • Ensure alignment and awareness of budget and discrepancies in real time to budget owners and finance partners. • Develop internal processes and iterate to ensure optimal efficiency. • Serve as the primary point of contact for external parties involved in contractual agreements. • Develop and maintain strong relationships with vendors, suppliers, and business partners. • Address and resolve any contract-related issues or questions in a timely and professional manner. • Provide inputs and updates to budget process as it relates to contractual agreements. • Assist with Accounts Payable functions, including processing invoices, managing vendor payments, reconciling financial records, and ensuring timely and accurate disbursements to support the organization's financial operations.
Job Requirements
- Degree in business administration, finance, or 5+ years of equivalent experience in a related field.
- Experience managing 50+ vendor contracts annually.
- Budget management experience.
- Excellent written and verbal communication skills.
- Detail-oriented with exceptional organizational skills.
- Ability to manage multiple projects and prioritize effectively in a fast-paced environment.
- Experience working within a complex organization.
- Proficient in MS Office Suite.

• Support end-to-end commercial process from quote creation through delivery tracking. • Build and maintain quotes based on approved pricing, product configurations, and commercial terms. • Ensure quote accuracy, including SKUs, quantities, pricing, discounts, terms, billing frequency, taxes, and legal language. • Track deal progression from quote creation through close, using defined stages and checkpoints. • Maintain deal desk logs and CRM entries, including status, blockers, approvals, next steps, and key dependencies. • Collect, verify, and attach revenue-impacting documentation. • Ensure accuracy of revenue recognition data such as term dates, performance obligations, and delivery triggers. • Maintain accurate delivery/provisioning fields in CRM for visibility across Sales and Operations. • Work closely with Sales, Sales Ops, Finance, Billing, Legal, Operations, and Customer Success.
• Facilitate complaint investigations while ensuring completeness and consistency of complaint files/records. • Support post-market compliance activities including handling of customer complaints in accordance with documented procedures • Evaluate complaints and perform preliminary complaint investigation including follow up with healthcare professionals and sales representatives • Escalate complaints when encountering new failure modes, and partner with Engineering, Field Personnel, and Quality Assurance to investigate. • Ensure complaint documentation and records are complete in compliance with regulatory requirements • Coordinate complaint investigation efforts with Quality and R&D team driving investigations to completion in a timely manner • Collaborate with Customer Service, Regulatory, R&D, Manufacturing, Commercial, Medical and other functional areas to obtain/provide information related to complaint investigations and other aspects of complaint handling • Assist in updating Quality procedures as required through the change order process. • Maintain comprehensive records of customer interactions, complaints, and resolutions in the company's electronic Quality Management System • Support and participate in internal and external audits • Perform other duties as assigned by Quality Management
