Role Description We are seeking an advanced Solutions Architect & Automation Virtual Assistant to design, build, and optimize our digital operations infrastructure. This is not a data entry or basic admin role—we need a highly technical, self-driven systems specialist who can connect platform workflows, build intelligent AI agents, and eliminate manual bottlenecks. - Workflow Automation & AI Deployment: Architect and implement end-to-end automation pipelines utilizing ChatGPT/OpenAI APIs, Zapier, custom webhooks, and APIs to streamline business operations. - Systems Integration: Seamlessly connect and maintain communication between our core software stack, including SmartMoving, RingCentral, Gmail, Mailchimp, Samsara, and Discord. - AI Chat Agent Development: Build, train, and manage conversational AI chat agents to optimize internal communications and customer touchpoints. - Data Structuring & Formatting: Design clean, reliable data mapping protocols across platforms (e.g., transforming raw RingCentral call notes into structured, actionable fields within SmartMoving). - Independent Troubleshooting: Monitor system logs, proactively identify data-flow breakages, and rapidly engineer fixes without requiring technical supervision. - Technical Innovation: Stay at the forefront of the emerging AI landscape, continually testing and proposing new tools or methodologies to improve company efficiency. Qualifications - Proven Automation Portfolio: 3+ years of experience building complex, multi-step zaps, handling raw webhook payloads, and configuring API authorizations. - Tech Stack Mastery: Hands-on, deep familiarity with CRM/logistics tools (ideally SmartMoving), communication platforms (RingCentral, Discord), and fleet/marketing data (Samsara, Mailchimp). - Data Literacy: Strong capability in manipulating and formatting data structures (JSON parameters, text parsing, and regex logic). - Architect Mindset: Ability to look at a manual, disorganized business process and independently map out a frictionless, automated solution. - Communication & Autonomy: Exceptional written English skills, a highly proactive troubleshooting attitude, and the comfort level to work completely unmanaged. Requirements - The Ramp-Up: This role begins as a specialized part-time engagement with an immediate pathway to full-time hours as you successfully optimize our primary system workflows. - No Hand-Holding: You will be given high-level operational objectives and the access keys; you are expected to research, test, and present finalized solutions.

Role Description Within the Accounting function at BenchPrep, you'll play a pivotal role in our finance team.
