The AR Specialist will work closely with the sales team and school districts to ensure timely collection of payments, maintain accurate records, and support the overall financial health of the organization. Key A/R Responsibilities: Collaborate with Sales Team: Work alongside the sales team to understand customer contracts and billing schedules, ensuring accurate and timely invoicing. Customer Communication: Engage with school districts and other customers to follow up on outstanding invoices, resolve billing issues, and facilitate prompt payment. Payment Processing: Accurately record and process incoming payments, ensuring all transactions are documented and reconciled. Account Reconciliation: Regularly review and reconcile customer accounts to ensure accuracy and completeness. Dispute Resolution: Address and resolve any discrepancies or disputes related to invoices and payments in a professional and timely manner. Compliance: Ensure all AR activities comply with company policies and relevant regulations. Support: Provide support to the finance team with month-end closing activities and audits as needed. Skills: Strong communication and interpersonal skills. Excellent organizational and time management skills. Attention to detail and accuracy. Ability to work independently and as part of a team. Business need to add a SME for OFX and SS collections processes, update and document business procedures and develop/maintain a training plan for the Commercial AR team. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES The following are the essential functions of this position. This position may be responsible for performing additional duties and tasks as needed and assigned. - Timely completion of all corporate wide and departmental training. - Understand, promote, and demonstrate Compliance adherence. - Demonstrate effective interactions with peers and managements; maintain effective communication lines/methods; engage management to help in solving problems as needed. - Responsible for managing and resolving assigned tasks in timely and effective manner - Demonstrate the ability to handle a larger and/or more complex workload while consistently exceeding personal and team collection goals as well as quality and productivity standards. - Ensure timely and accurate follow up on open aging accounts - Perform wide variety of collections duties requiring a strong level of initiative and judgement in resolving account balances. - Utilize knowledge and experience to assist team members with escalations and other difficult / complex account issues. - Coordinate training of new collectors, refresher training and cross-training with other department personnel for the team. - Communicate with internal and external customers regarding customer payment issues, system and process issues identified. - Work with National Accounts and leadership on pricing escalations needed to resolve invoice disputes. - Identify and report customer trends or issues to management and share learnings with team members. - Ensure that work instructions are updated with customer requirements, special processes and guidelines. - Excellent understanding of all work instructions, processes, guidelines and policies - Proactively suggest process improvements.
