North
• Provides administrative support to their reports to C-Level Executive by maintaining sensitive and complex calendars, including scheduling meetings, conference calls, lunches, etc. • Attends important meetings as needed, taking notes, being an active participant and knowledgeable resource, while ensuring executive preparation and effectiveness. • Coordinates travel arrangements (i.e. air, hotel accommodations and ground transportation), prepare itineraries, and ensure accuracy and timely delivery of plans/tickets. • Communicate with customers, partners and vendors; gather pertinent information and route to the appropriate staff member. • Creates or directs creation of reports, charts, budgets and other presentation materials for the executive. • Be responsible for the tracking of business expenses and preparation of expense reports. • Partners with other Executive Assistants in the Company. • Special projects as assigned by reporting to C-Level Executive.
Job Requirements
- High school diploma or GED required.
- Associates Degree and/or equivalent, related experience.
- Must have 3+ years as an Executive Assistant supporting a VP level executive or higher.
- Experience working with budgets and overseeing the tracking process to ensure projects are in line with forecast.
- Experience preparing presentations, reports and correspondence.
- Excellent written and verbal communication skills with the ability to interact effectively and professionally with management, clients, staff and colleagues.
- Strong initiative, organizational abilities, attention to detail and accuracy; proactive.
- Ability to effectively multi-task and juggle shifting priorities.
- Excellent problem-solving and follow-through skills to meet tight deadlines and shifting priorities and deadlines.
- Must work with a sense of urgency.
- Must be comfortable working independently with minimal direction, as well as within a team, with strong and diverse personalities.
- Intermediate to advanced Google Suite, MS Word, Outlook, Excel and internet research skills.

• Provide direct executive support including calendar management, inbox triage, scheduling, and meeting coordination. • Maintain and update client records, service agreements, and NDIS-related documentation. • Assist in NDIS compliance tasks, including audit preparation and service delivery reporting. • Coordinate team communication, prepare internal and external correspondence, and assist in project tracking. • Support the onboarding of new clients and team members, including documentation setup and access management. • Liaise with rostering or support coordinators to ensure alignment across shifts, services, and client communications. • Maintain organized digital filing systems and support executive-level decision-making through timely information flow. • Track action items and follow-ups for management, ensuring deadlines and priorities are met efficiently.
• Perform accurate data entry and maintain organized digital records • Manage inbound and outbound email communications in a professional and timely manner • Support team coordination, including follow-ups and information sharing • Assist with administrative and miscellaneous tasks as needed to support executives and teams • Ensure confidentiality and professionalism in all communications and documentation
