Executive Assistant – Operations

• Run the Day-to-Day: Keep operations moving smoothly across schedules, vendors, tools, and priorities. • Handle Finance: Track revenue, expenses, invoices, and payments; maintain clean financial records and reports. • Own Execution: Turn ideas into action, follow up, track progress, and make sure things actually get done. • Support Sales: Assist with proposals, follow-ups, CRM updates, and basic pipeline organization. • Support Leadership: Manage inboxes, calendars, documentation, and priorities so leadership can focus on growth. • Improve Systems: Spot inefficiencies, document processes, and help build smarter, simpler workflows. • Coordinate People & Projects: Be the bridge between contractors, internal team members, and external partners.
Job Requirements
- Ops-Minded + Numbers Brain: You think in processes, checklists, timelines, and dependencies. You’re comfortable with spreadsheets, cash flow tracking, and financial organization.
- Relevant Experience: Background as an Executive Assistant, Ops Manager, Finance Assistant, or similar role.
- Tech-Savvy: Comfortable with tools like Google Workspace, Notion, ClickUp/Asana, Slack, and spreadsheets. QuickBooks or similar is a plus.
- Strong Communicator: Clear, direct, organized — written and spoken.
- Ownership Mentality: You take responsibility, anticipate needs, and don’t need hand-holding.
