Role Description The Language Doctors, Inc. is currently seeking a Japanese Document Formatting & Transcription Specialist to help prepare documents for translation. This role is ideal for someone who enjoys structured, detail-heavy work and takes pride in producing clean, accurate documents. As a Transcriber, your core responsibility is to recreate scanned document PDFs into fully editable Microsoft Word documents, ensuring the content and formatting match the original file as closely as possible. These Word files serve as the “mirror” documents our translators rely on to deliver high-quality translations. Important: This is not an audio transcription and not creative editing. You will be working with scanned PDFs, often from international healthcare systems, with varying layouts and quality. Essential Duties & Responsibilities - Convert scanned PDFs into editable Word documents that match the source (layout, tables, spacing, headings, line breaks, and structure). - Work with a wide variety of formats (typed notes, tables, bilingual sections, complex layouts, occasional handwriting). - Use OCR outputs when available, and/or request OCR support when needed; then clean, format, and verify the document in Word. - Follow written style and formatting guidelines to ensure consistency across files. - Handle medical documents confidentially and responsibly at all times. - Flag unclear or illegible content for further review and document any uncertainties. - Perform a line-by-line quality check before submitting work to reduce errors and omissions. Qualifications - Advanced Microsoft Word skills, especially formatting (tables, tabs, spacing, page layout, headers/footers, styles). - Excellent attention to detail and comfort doing meticulous, repetitive work. - Language Requirements: - Japanese: Basic reading proficiency required. Candidates must be able to read Katakana. Intermediate proficiency (e.g., JLPT N3 or equivalent) is considered a plus. - Spanish: Required (training will be conducted in Spanish). - English: Basic knowledge preferred. Requirements - Experience handling medical, legal, or technical documents with complex formatting. - Familiarity with OCR tools such as ABBYY FineReader or Adobe Acrobat Pro. - Basic image editing skills (helpful for improving readability in difficult scans). The intern will work with our terminology owner to identify, translate, and validate key terminology from diverse stakeholder assets. In this role, you’ll take ownership of a mini terminology initiative (under guidance), managing full-cycle projects to standardize terms across the organization and make a tangible impact on our global communications. Alongside hands-on project experience, you’ll build your professional network through virtual collaboration with other interns and learn best-in-class practices in a leading international business environment. Internship Job Duties: - Project Overview: Working alongside the Globalization team to expand terminology management for regulatory compliance. - Tasks: Mine and identify key terminology from assets provided by stakeholders and manage the translation and internal validation cycle. Leverage TMS functionality to manage terminology and activate automated QA within the tool, and prepare training material/demo for vendor/linguists as needed. - Final Deliverable: validated terms & metadata added in Terminology Management System - Coordinate with relevant stakeholders (product, marketing, regulatory, medical, etc) to manage terminology projects and ensure overall success. - If time allows, perform other duties as assigned (i.e. creation of localization style guides and linguist guidelines per content type, plug terminology into AI). Internship Qualifications: - Enrolled in a Bachelor’s or Master’s degree program; minimum GPA 3.0 is preferred.
