We seek a detail-oriented and experienced Finance and Accounting Associate to join our finance team, serving as a Staff Accountant. This role is central to maintaining the accuracy and integrity of our financial records, supporting grant compliance, and managing the complex revenue cycle associated with claims-based reimbursement — a key component of our funding model. The ideal candidate brings hands-on experience in nonprofit accounting and a working knowledge of both prospective and reimbursement-based payment processes — whether from healthcare, social services, behavioral health, or a similar claims-intensive environment. In lieu of this specific experience, demonstrated accounting experience and a ready-to-learn attitude will be considered. The incumbent will support the Controller and Executive Leadership Team by managing daily accounting tasks, conducting reconciliations, tracking and reporting on fund balances and claim reimbursements, ensuring regulatory compliance, and assisting with financial reporting. General Bookkeeping & Accounting - Maintain the general ledger and support monthly, quarterly, and year-end close processes. - Record and reconcile all revenue streams, including grants, contracts, donations, program fees, and claims reimbursements. - Process accounts payable and accounts receivable; ensure proper documentation associated with all accounts payable and accounts receivable. - Prepare and post journal entries with appropriate supporting documentation. - Reconcile bank, credit card, and investment accounts on a monthly basis. - Assist with preparation of annual audit and Form 990. - Support budgeting and financial forecasting processes under the direction of the Controller. Claims-Based Revenue & Billing Cycle - Work closely with our claims and billing service provider - Track and record payments received on submitted claims (e.g., Medicaid, Medicare, insurance, or government reimbursement programs), ensuring timely and accurate posting. - Monitor claims aging reports; follow up on outstanding, denied, or underpaid claims in coordination with billing or program staff. - Maintain clear documentation of the claims revenue cycle, including submissions, approvals, denials, appeals, and final payments. - Support compliance with payer billing requirements. - Assist with rate reconciliations and retroactive adjustments as required by payer contracts or government programs. Grant & Fund Accounting - Maintain accurate fund accounting records to ensure proper allocation of expenses and revenues across restricted and unrestricted funds. - Prepare grant-specific financial reports in accordance with funder requirements and deadlines. - Monitor grant budgets; collaborate with Development staff to ensure budgets are adequately accounted for. Payroll & HR Support - Reconcile records for employee compensation, benefits, PTO accruals, and related liabilities. - Prepare and distribute 1099s and other required tax documents to vendors and contractors, as needed.
Job Requirements
- Required
- Associate's degree or completed coursework in Accounting, Finance, or Business; or equivalent bookkeeping experience in lieu of a degree.
- Minimum 5 years of bookkeeping and accounting experience; prior nonprofit experience a plus but not required.
- Some experience with or exposure to claims-based revenue — such as payment posting, remittance reconciliation, or denial tracking — in a healthcare, behavioral health, social services, or similar organization; willingness to learn is equally valued.
- Proficiency in Microsoft Excel and QuickBooks.
- Strong understanding of fund accounting, restricted/unrestricted revenue, and nonprofit grant financial reporting.
- Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
- High degree of integrity, discretion, and attention to detail when handling sensitive financial information.
- Preferred
- Experience with Medicaid managed care, Medicaid fee-for-service, or other government payer billing and reconciliation.
- Knowledge of IRS requirements for nonprofit organizations (Form 990, public support test, UBIT).
- Bookkeeping certification (e.g., AIPB Certified Bookkeeper) or progress toward CPA designation.
- Experience supporting nonprofit audits and 990 filings.
