Role Description We’re looking for an exceptional Executive Ops partner to be the backbone for our CEO. This is not a traditional admin role. You’ll be a true partner to Ellen — anticipating her needs before she voices them, protecting her time with intentionality, and ensuring she operates at the speed and standard WellTheory demands. This role reports directly to the CEO and sits at the center of everything: board communications, investor relationships, hiring decisions, team offsites, and the day-to-day operational rhythm of a scaling healthcare startup. What You’ll Do - Calendar & Time Management - Own the CEO’s calendar end-to-end — scheduling, prioritizing, and protecting time for deep work and strategic thinking. - Proactively resolve scheduling conflicts and make smart trade-offs without needing to escalate every decision. - Build prep briefs ahead of important meetings — background on attendees, key talking points, pre-reads. - Communication & Correspondence - Triage the CEO’s inbox and Slack daily — handle what you can, flag what requires Ellen’s attention, draft responses for her review. - Draft high-quality external communications: emails to investors, board members, partners, and candidates that are crisp, professional, and on-brand. - Serve as the primary point of contact for people trying to reach the CEO — with warmth, professionalism, and appropriate discretion. - Travel & Logistics - Book and manage complex, multi-city travel — flights, hotels, ground transport, conference logistics, and detailed itineraries. - Anticipate travel-related complications and have contingency plans ready. - Manage post-trip expense reconciliation. - Follow-Through & Project Support - Maintain a live view of the CEO’s open commitments, promises made, and things owed — follow up proactively before they become problems. - Support cross-functional projects where the CEO is a stakeholder — track status, flag blockers, keep things moving. - Handle ad hoc research, briefings, and special projects as needed. - Operations & Tools - Maintain and organize the CEO’s Notion workspace — action lists, meeting notes, reference docs. - Use Claude and other AI tools to work faster and smarter: drafting communications, synthesizing research, building templates. - Identify opportunities to systematize repetitive work and continuously improve how the CEO’s office runs. Qualifications - Have been told you’re a “force of nature” — relentless, resourceful, and the person people trust to actually get things done. - Anticipate problems before they happen and fix them before anyone notices. - Write at a level that could pass for the CEO — clear, warm, professional, and precise. - Feel energized, not overwhelmed, when priorities shift quickly. - Are regularly using AI tools to automate and improve your work. - Care deeply about the mission — WellTheory exists to help people with autoimmune disease live better lives, and that matters to you. Benefits - A front-row seat to how a mission-driven startup operates at the leadership level. - Direct, close partnership with a high-caliber CEO. - Competitive compensation, equity, and benefits. About WellTheory WellTheory is a digital health company helping people with autoimmune conditions take control of their health through personalized care, nutrition guidance, and ongoing coaching. We're a team of 50+ passionate people who believe better care starts with better relationships. We're also building one of the most AI-forward organizations in healthcare—not by replacing our team with AI, but by making every person on our team dramatically more effective. About the Role We're looking for an AI Operations Lead to drive WellTheory's transition to an AI-native operating model. This is a hands-on, cross-functional role that sits at the intersection of building, teaching, and organizing. Today, our teams are already using AI in meaningful ways: our care team uses AI to draft Care Plans and analyze labs, our engineers have built AI-powered workflows to power care delivery and internal development, and our leadership team has created internal tools used across the company. But this is happening in pockets. We need someone to turn scattered experimentation into a systematic, scalable approach—building shared infrastructure, enabling every team, establishing governance, and measuring progress. This is a senior IC / player-coach role reporting to our Co-Founder Claire with a dotted line to our Head of People, and you'll work with every team in the company. What You'll Do - Build automations and tools that encode WellTheory's institutional workflows—from care plan creation to sales follow-ups to onboarding processes - Enable every team to work effectively with AI through training, workshops, office hours, and 1:1 coaching - Create a shared AI tool library and establish patterns that teams can use to build their own automations - Own AI governance: approved tools, data privacy protocols, QA processes for AI-generated content, compliance requirements - Design and maintain our AI measurement framework—tracking adoption, efficiency gains, and business impact - Partner with our Head of People to integrate AI fluency into learning paths, performance conversations, and team development - Report to leadership and the board on transformation progress You Might Be a Great Fit If You... - Have built AI-powered tools, automations, workflows, and agents that other people at your company use regularly - Are deeply fluent in modern AI tools (Claude Code, Cursor, etc.)—as a builder, not just a user - Get energy from both building things AND teaching people how to build their own - Can talk to an engineer about API integrations and a care team member about nutrition workflows with equal comfort - Default to "let me try it" rather than "let me write a plan for it" - Have worked in a fast-moving startup where you wore multiple hats - Care about doing this responsibly, especially in a healthcare context Bonus Points - Healthcare or health-tech experience - Experience designing training or enablement programs - Track record of leading operational or organizational transformation What We Offer - The chance to define and build the AI operating model for a mission-driven company from the ground up - A team that's already bought in and hungry to learn—this isn't a "convince people AI is important" job - Direct partnership with the Staff leadership team - A base salary range of $125,000 - $175,000. This range reflects the variety of backgrounds we're open to — placement within it depends on the technical depth and directly relevant skills you bring to the role. Additionally, this role includes equity, benefits, and remote work. At WellTheory, we're committed to building a diverse, inclusive, and authentic team — so if you're excited about this role but your experience doesn't check every box, we encourage you to apply anyway. You might be exactly who we're looking for. WellTheory is an equal opportunity employer. We do not discriminate on the basis of race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, veteran status, or any other protected characteristic.
