Role Description Vaniam Group's Client Services and Curio teams are at the heart of what we deliver — managing complex medical communications programs for leading biopharmaceutical companies. As our Client Delivery Operations Intern, you'll use AI to document, streamline, and optimize the workflows that power our client engagements. This role is built for someone who's detail-oriented, process-minded, and excited to make a measurable impact on how a growing organization delivers its best work. What You’ll Work On - Map and document core client delivery workflows, from project kickoff through final deliverable, in close collaboration with Client Services and Curio team members. - Identify bottlenecks, inconsistencies, and manual steps within existing processes that could benefit from standardization or AI-assisted automation. - Develop a suite of SOPs, checklists, and delivery playbooks that establish clear, repeatable standards for client-facing work. - Create AI prompt templates for Claude, Copilot, and other approved tools, designed for ongoing use in delivery tasks such as timeline generation, status reporting, and quality checks. - Pilot the new playbooks and templates with at least one active account team, gather feedback, and refine based on real delivery conditions. - Present a final summary of process improvements, estimated time savings, and recommendations for organization-wide rollout. What You’ll Learn - How client delivery and account management work in the medical communications industry, from strategy through execution. - Process mapping, documentation best practices, and operational excellence frameworks. - How to use AI tools to accelerate and standardize repeatable business processes. - How to work with cross-functional stakeholders to drive adoption of new workflows and tools. - The regulatory and quality standards that shape client deliverables in oncology and hematology communications. Qualifications - Currently pursuing a bachelor's or master's degree in Marketing, Business, Operations Management, Communications, Healthcare Administration, or a related field. Requirements - Strong organizational and analytical skills, with the ability to break down complex processes into clear, logical steps. - Excellent written communication skills, particularly for creating documentation and process guides. - Proficiency in Microsoft Office Suite and comfort adopting new collaboration and project management tools. - Familiarity with AI tools such as Claude, Copilot, or similar platforms for content drafting, summarization, or workflow automation is a plus. - Availability to work 15-20 hours per week for 10–12 weeks (May/June through August/September 2026). Role Description As our Account Manager, Curio Science, you will oversee the operations, including faculty communication and audience generation, for non-CME scientific and clinical exchange programs as they are funded. You will also be expected to liaise between internal teams, healthcare providers, and clients where necessary in collaboration with leadership. A Day in the Life Deliverables - Create and maintain project timelines, with input from internal team members - Track progress of activity against established timelines - Provide mentorship to account management team - Execute program plan based on working budget and manage against funding obtained - Initiate, execute, and measure effectiveness of audience generation - Provide onsite project management Client Responsibility - Serve as the project point of contact for internal teams (Scientific Communications, Creative, Client Services, Finance, etc.), clients, and healthcare providers - Conduct regular project status meetings with internal core team and clients as necessary - Maintain contact with healthcare providers throughout the course of the meeting - Prepare, schedule, and conduct virtual trainings for expert advisors Internal Responsibility - May contribute to mentoring and training of more junior staff and to department-wide trainings Business Development - Partner with fellow account managers and cross-functional teams to support Vaniam Group business development initiatives - Create scope of work for new subscriptions - Other duties may be assigned to help drive deliverables within this role. Qualifications - Bachelor’s degree - 3+ years of work experience in a medical education company, healthcare communications agency, the biotechnology/pharmaceutical industry - Technical expertise to include Outlook, Excel, PowerPoint, and other internal communication and project planning tools - Understanding of Curio Science offerings and ability to describe them to current and potential clients, faculty, and healthcare provider attendees - Awareness of relevant legal/regulatory requirements governing pharmaceutical industry activities - Strong customer service focus; history of looking for the above and beyond solutions Requirements - Ability to communicate clearly and work collaboratively in a dynamic, virtual environment - Strong interpersonal skills, with the ability to interact effectively and professionally at all levels within the organization, healthcare providers, and clients at all times - Excellent oral and written communication skills, including the ability to provide clear direction and set expectations - Demonstrate ability to prioritize/plan work activities and meet tight deadlines - Ability to manage and prioritize personal and/or team workload - Results-oriented with a commitment to accountability - Strong organizational and time management skills - Demonstrate a sense of urgency to obtain results - Ensure the highest standards of quality control of client materials and, as appropriate, develop best practices protocols for project teams to facilitate such quality control Travel Requirements - Ability to travel within the US and internationally as necessary, based on project, client, and organizational needs (35% travel expected) The Team You’ll Work Closest With You will work closely with the Curio Science and leadership teams, with additional collaborations with scientific communications and creative teams based on project type and client.
