• Own email strategy across 5–6 client accounts , keeping campaigns aligned with brand identity, launches, and seasonal moments • Develop detailed email briefs with campaign concepts, messaging direction, and copy for the designer. The workflow is design-first: the designer typically builds the email structure, and you write copy to fit within it • Produce 2–4 email briefs with copy per day depending on workload • Study past campaign performance in Klaviyo to identify what's working and apply those learnings forward • Monitor open rate, CTR, and placed order value, and flag optimization opportunities • Assist the agency owner in planning and organizing monthly content calendars • Write flow copy for welcome, abandoned cart, browse abandonment, and post-purchase sequences when needed • Propose A/B tests on subject lines, angles, and CTAs, and document learnings • QA emails before send: links, personalization, segments, and rendering • Manage briefs, assets, and feedback through Slack and Google Docs/Drive
• Manage a portfolio of email and SMS client accounts with varying levels of involvement, from high-touch strategic relationships to light maintenance accounts, starting with around 8 accounts and growing week by week to 10+ at full capacity • Lead weekly calls with clients and with the internal team supporting your accounts • Set the strategy for each account, including campaign calendars, flow priorities, and side projects • Create and brief tasks for the creative team in ClickUp based on each client's workload • Read and interpret performance data across Klaviyo, Omnisend, and other email platforms to guide account decisions • Delegate copy and email uploads to junior account managers and review their output • Keep clients updated with proactive, structured communication over Slack and regular meetings • Monitor account health, spot risks early, and act before they become retention problems • Stay current on email and SMS trends and bring fresh ideas to your accounts
• Monitor and respond to inbound DMs on Instagram and Facebook, nurturing leads and guiding them toward the right offer (group coaching, 1-on-1, or challenges) • Set up, monitor, and troubleshoot ManyChat automations for launches and active funnels; manually send freebies when automations fail • Manage email lists, flows, and automation sequences inside GoHighLevel; keep lists clean and segmented for deliverability • Support launches and promotions by updating funnels, landing pages, and email sequences as needed • Monitor the support/info inbox daily and action or escalate messages within one business day • Process enrollments, upgrades, downgrades, cancellations, and refunds inside GoHighLevel and Stripe; move clients between group and 1-on-1 coaching as needed • Ensure all new clients are onboarded smoothly, covering DMs, the info inbox, and EverFit messages • Make basic web updates inside GoHighLevel and Shopify as required • Flag brand partnership opportunities and important conversations to leadership within 24 hours • Deliver a monthly business health report covering total clients, new enrollments, cancellations, and upgrades/downgrades
• Lead Meta ad strategy and execution across the full funnel: prospecting, retargeting, and retention • Apply growth marketing frameworks to test offers, angles, audiences, and creative variations • Optimize campaigns daily to hit CAC, ROAS, MER, and LTV targets • Collaborate with creative teams to brief, test, and iterate winning ad concepts • Work with analytics teams to interpret performance data and inform strategy • Stay informed on Meta platform updates, algorithm shifts, and paid media best practices • Expand into TikTok, YouTube, and Google Ads to support additional growth • Present clear insights and performance summaries in bi-weekly client calls and written reports • Mentor junior media buyers on campaign management and testing best practices • Use Asana and Slack to manage tasks and maintain campaign visibility • Leverage tools like Triple Whale, Motion, GA4, Google Sheets, and PowerPoint for tracking, analysis, and reporting
• Design original, non-template email creatives in Canva with abstract, collage-style layouts • Turn campaign calendars and direction into on-brand visuals with strong CTAs and clean hierarchy • Research design ideas using Pinterest and competitor emails to fuel creativity and stay on trend • Slice and build emails in Klaviyo using image blocks or modular layouts with proper links and tracking • Optimize designs for mobile, ensuring responsiveness, clarity, and visual impact across devices • Compress and embed subtle GIFs or motion elements using tools like Ezgif • QA final email layouts for spacing, formatting, and dark mode compatibility • Maintain consistent design file structure, naming conventions, and folder hygiene in Canva • Apply feedback efficiently and upload final versions to Klaviyo without error • Occasionally assist with copy tweaks (subject lines, CTAs) using tools like ChatGPT
• Filter emails, texts, and other communications to ensure the CEO sees only the most critical items • Respond to communications clearly, kindly, and professionally when needed • Maintain a 360-degree view of the CEO’s business and personal needs on a daily, weekly, and monthly basis • Schedule and organize meetings, ensuring they are necessary, purposeful, and productive • Manage a clear and organized calendar that balances business and personal commitments • Arrange all aspects of travel, including itineraries, accommodations, and transportation • Plan and oversee events that align with business goals and the CEO’s availability • Monitor expenses and budgets related to the CEO’s activities and office needs • Stay informed about key business projects and deadlines and update the CEO as needed • Continuously look for ways to improve the efficiency of the CEO’s schedule • Manage contacts and networking opportunities to align with business priorities • Handle personal appointments to support a balanced lifestyle for the CEO • Prepare and edit documents, presentations, and reports with accuracy and adherence to standards • Maintain office organization by managing supplies, equipment, and daily operational needs • Safeguard sensitive information and maintain strict confidentiality • Reassess tasks and priorities regularly to align with the CEO’s strategic goals • Serve as a liaison between the CEO and other team members or departments • Gather and relay relevant feedback, updates, and reports to support decision-making • Anticipate and resolve potential issues before they reach the CEO to ensure smooth operations
