Role Description The Records Retrieval Specialist is responsible for registering, organizing, and documenting incoming correspondence from facilities and witnesses responding to legal requests for records. This position ensures accurate intake, notation, client communication, and proper digital file organization to support legal records processing. - Register all incoming responses related to legal requests for records. - Request client approval for additional fees submitted by custodians. - Track, identify, and account for undocumented or unmatched responses. - Upload, organize, and maintain digital records in the correct network folders. - Match received documents to the correct legal request or case. - Request additional information from clients when needed. - Provide status updates and relevant information to internal and external stakeholders. - Maintain accurate documentation and notes in DAS or other internal systems. Qualifications - Strong attention to detail and accuracy in data and document handling. - Proficiency in computer systems, file management, and digital record organization. - Ability to input detailed notes into DAS or other records software. - Ability to navigate a shared network, create folders, and maintain file structure. - Strong written communication skills for client and internal correspondence. - Ability to manage multiple incoming requests and prioritize work effectively. Requirements The base Compensation for this role will be $19.50 an hour and will be dependent upon the individual's location, skills, experience and qualifications. • Lead strategic deployments quarterly, driving eARR with ownership of quality, timelines, and outcomes • Project Manage end-to-end implementation strategy, managing complex integrations, stakeholder alignment, and risk • Optimize deployment frameworks by identifying inefficiencies and implementing scalable, automated solutions and tooling • Partner with Engineering and Product, influencing the roadmap with client insights and technical feedback • Lead cross-functional execution across Sales, CS, Product, and Engineering for seamless customer lifecycle delivery • Institutionalize best practices via scalable documentation, playbooks, and knowledge systems to elevate team consistency • Support organizational scalability by forecasting capacity, mitigating pipeline constraints, and reducing future eARR risk • Leverage AI as a core layer for accelerating solution design, implementation, and continuous deployment improvement

• Serve as the primary point of escalation for complex, aging, or high-priority cases within an assigned book of business, monitoring case status and proactively resolving issues that impact turnaround time, quality, or client satisfaction • Communicate directly with clients on escalated matters, providing timely updates, resolution plans, and ensuring all orders are processed accurately and in compliance with client requirements and internal procedures • Provide day-to-day oversight, coaching, and performance management for Records Retrieval Specialists, identifying trends and addressing gaps in productivity and quality • Support onboarding and training of new RRS team members and foster a culture of accountability, continuous improvement, and high-quality work • Review and manage aging orders within defined timelines, conduct quality reviews of retrieval activity, and identify process inefficiencies with actionable improvement recommendations • Analyze performance data and case metrics to identify risks and trends, track KPIs, and deliver regular status reports to the Records Collection Department Manager • Partner with the Department Manager, internal stakeholders, and cross-functional teams including legal, compliance, and client services to ensure alignment on priorities, procedures, and client expectations
• Assist in the execution of Array’s Compliance Management Program and related policies, procedures, and controls. • Conduct compliance reviews of marketing materials, consumer-facing content, disclosures, websites, customer journeys, and communications. • Support compliance reviews of new products, features, client use cases, and third-party relationships. • Perform compliance monitoring and testing activities to assess adherence to regulatory requirements and internal policies. • Assist with consumer complaint investigations, root cause analysis, trend reporting, and remediation efforts. • Support regulatory change management efforts by tracking and evaluating new laws, regulations, and supervisory guidance. • Partner with Product, Marketing, Client Success, Operations, Engineering, Legal, and Information Security teams to identify and mitigate compliance risks. • Assist with client due diligence reviews and ongoing oversight activities. • Maintain compliance documentation, risk assessments, issue logs, corrective action plans, and supporting evidence. • Prepare reports and presentations for management, committees, and internal stakeholders. • Support sponsor bank, credit bureau, and third-party compliance obligations as needed. • Research and analyze applicable laws and regulations including FCRA, FACTA, UDAAP, CAN-SPAM, GLBA, ECOA, Reg E, Reg Z, SCRA, and privacy requirements. • Help drive a culture of compliance by providing practical guidance and support to business partners. • Maintain a habit of using AI tools to think, build, and ship faster—it’s your default, not an afterthought.
