Operations Administrator – VA ESOM

• Coordinate pre-hire documentation, security protocols, and preparatory activities. • Draft and distribute welcome emails, coordinate with pre-hires, and support integration of new resources. • Collaborate with HR to ensure compliance with federal/state regulations and organizational requirements. • Provide recommendations to improve onboarding processes, tools, and workflows. • Build positive relationships with hiring managers and stakeholders. • Facilitate communication among stakeholders, schedule tasks, and organize meetings. • Capture and distribute meeting minutes; manage email groups and distribution lists. • Handle incoming correspondence professionally and maintain clear communication channels. • Maintain accurate records, databases, and SharePoint sites. • Organize and safeguard physical and electronic files, ensuring proper handling of sensitive and classified information. • Assist with operational activities, including developing procedures, guidelines, and best practices. • Prepare reports, presentations, and internal documents as needed. • Gather and analyze data to identify trends and areas for improvement. • Develop detailed and ad hoc reports to support decision-making.

Job Requirements

  • Bachelors’ degree (Minimum)
  • 1-2 years of administrative experience in a fast-paced environment
  • Proven ability to build relationships and engage all stakeholders to arrive at optimal outcomes
  • Excellent verbal and written communication skills
  • Strong proficiency with Microsoft Word, PowerPoint, Excel, and Outlook
  • Ability to work independently, and able to work with high-performing project management team
  • Self-motivated to complete tasks as needed
