Role Description Our Client is seeking an ultra-organized, systems-minded Account Operations Coordinator to serve as the operational and administrative backbone of their account management department. Please note: This is not a passive task-entry assistant role. The successful candidate must be a true finisher—someone who actively pushes projects across the finish line, anticipates the needs of account managers before they arise, and keeps a complex multi-client agency engine running with flawless accuracy. - Advanced Asana Governance & Project Tracking - Serves as the agency’s central Asana system architect, structural guardian, and power user—maintaining pristine workspace hygiene, building templates, designing workflow automations, and keeping team-wide tasks clean and current. - Converts client commitments and meeting outcomes into highly detailed, properly assigned, dated, and cross-referenced Asana tasks. - Tracks every assigned deliverable aggressively to completion, relentlessly following up with internal teams to resolve bottlenecks before they turn into project delays. - Meeting Synthesis & Client Communications Support - Attends high-impact client calls, serving as the silent administrative anchor who captures every technical action item, target deadline, and strategic commitment. - Drafts professional, client-ready post-call follow-up emails within a strict two-hour window of each meeting, prepped for the account manager’s immediate review and dispatch. - Prepares clean, client-facing summaries and agendas, acting as a proactive partner to the account management division. - Data Preparation & Platform Synchronization - Aggregates, validates, and organizes key marketing metrics (ad spend, performance indicators, campaign trends, and historic comparisons) ahead of scheduled client calls. - Navigates customer pipelines and operations interfaces within GoHighLevel (GHL) to ensure backend client records match live project tracking data. - Manages shared calendars, documentation hubs, and communication flows across the Google Suite (Calendar, Docs, Sheets, Gmail). Qualifications - Agency Operations Experience: 2+ years of verified professional experience operating as an Executive Assistant, Project Coordinator, or Account Assistant, ideally supporting a high-volume, fast-moving marketing agency. - Structural Asana Mastery: Deep, non-negotiable, expert-level proficiency inside Asana. The candidate must think natively in Asana, possessing direct experience building templates, managing complex workspaces, and utilizing advanced platform automations. - Tech Stack Literacy: Solid hands-on experience navigating GoHighLevel (GHL) and the entire Google Workspace ecosystem (Calendar, Gmail, Drive, Sheets). - Outstanding Written English: Exceptional written communication mechanics. The candidate must be capable of drafting highly polished, persuasive, and professional client-facing emails with zero guidance. - Proactive "Finisher" Mindset: A relentless attention to detail and a self-driven project management instinct that thrives on organization, spots blockers early, and refuses to let tasks drift. - Workplace Infrastructure: Ownership of a quiet, private, and distraction-free remote home office, a modern computer setup optimized for active multitasking across browser tabs, and a stable, high-speed internet connection with power redundancies. Preferred Qualifications - Basic understanding of digital marketing terminology, ad spend metrics, and campaign KPIs (ROAS, CPC, CTR, etc.). - Prior experience coordinating multi-client schedules across different North American time zones. Benefits - Stable USD Compensation: A dependable full-time monthly contractor salary of $1,500 – $2,000 USD paid predictably in USD. - High-Trust Autonomy: Step out of micromanaged roles and take complete ownership of the agency's operational and project-tracking layer. - Elite Professional Growth: Work side-by-side with senior account managers in a high-performing digital marketing firm, gaining direct exposure to cutting-edge campaign operations and strategy.

Role Description We’re looking for a self-motivated, hungry Automation Expert who treats AI tools like Claude as a core part of how they work, not a novelty they dabble in. This role doesn’t come with a fixed lane — you’ll be given the room to look across the whole business (clinical operations, marketing, partner onboarding, and beyond) and go build the automation that makes it better. If you can’t sit still when you spot a manual process, and you’d rather ship a working AI-powered fix than wait to be told what to build, this is for you. Responsibilities - Healthcare & Clinical Operations Automation - Use Claude and other AI tools to design and build automation workflows for clinical operations — appointment scheduling, referral management, and follow-up communications. - Build AI-assisted tools that streamline surgeon and staff workflows, including data collection, reporting, and compliance. - Integrate automation and AI platforms (e.g., Claude, Zapier, n8n, Make, Airtable, custom scripts) with external and internal systems. - Collaborate with surgeons and clinical staff to identify repetitive pain points and deliver practical, AI-powered automation solutions. - Marketing Automation & Content Creation - Build and manage AI-powered automation frameworks for social media publishing, analytics tracking, and content pipeline management. - Use Claude and other AI tools to automate content repurposing across Instagram, TikTok, LinkedIn, newsletters, and clinic websites. - Deploy Claude and other AI tools to handle video editing support, captioning, content planning, and campaign management — cutting manual production time down to near zero. - Work closely with the Marketing and Creative teams to deliver seamless workflows from ideation to distribution. - Partner Onboarding & Enablement - Develop automation processes for onboarding new clinical partners, from contract signing through to full activation. - Use Claude to auto-generate customized implementation programs, welcome materials, and clinic-specific training guidelines. - Build scalable playbooks for clinic success teams using tools like Notion, HubSpot, and internal dashboards. - Enable clinics with self-serve onboarding portals, automated checklists, and training progress tracking. Qualifications - 3+ years in automation, systems operations, or process design roles. - A demonstrated track record of self-initiated projects — things you built or automated because you spotted the problem, not because someone assigned it to you. - Technical proficiency with automation platforms (Claude, Zapier, n8n, Make, Airtable, or similar). - Outstanding written and verbal communication skills, Fluent in English (C1). - Ability to create lightweight custom tools using JavaScript, Python, or low-code platforms. - Experience working in a startup or early-stage company, comfortable with ambiguity and minimal oversight. - Strong English communication skills. Native or Fluent (C1) level. Benefits - Paid time off (PTO) and paid holidays. - Performance-based bonuses and company equity opportunities. - Fully remote work environment with flexible schedules. - Collaborative and thriving team culture guided by Adoreal’s core values.
