Role Description We are looking for a highly organized, proactive, and detail-oriented Virtual Executive Assistant to support our leadership team and help keep day-to-day operations running smoothly. This role requires exceptional organizational skills, strong communication abilities, and the ability to manage multiple priorities while maintaining a high level of professionalism and confidentiality. As the Executive Assistant to the Leadership & Sales Team, you will serve as a trusted partner by: - Managing calendars and scheduling internal and external meetings while proactively identifying and resolving scheduling conflicts. - Coordinating executive calendars across multiple time zones. - Preparing meeting agendas, presentation materials, reports, and other supporting documents. - Taking meeting notes and distributing action items and follow-ups. - Coordinating domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and conference registrations. - Organizing onsite and virtual meetings, team events, and company activities. - Handling confidential and sensitive information with the highest level of discretion and professionalism. - Serving as a liaison between executives, employees, customers, vendors, and business partners. - Assisting with expense reporting, document preparation, online research, and administrative projects. - Supporting various departments with administrative tasks as business needs require. - Monitoring executive inboxes when needed and assisting with email management and follow-up. - Helping improve administrative processes and recommending efficiencies to support business operations. - Performing additional administrative duties as assigned. Qualifications - Proven experience as a Virtual Executive Assistant, Executive Assistant, Administrative Assistant, or in a similar role supporting c-suite. - Strong experience managing executive calendars, scheduling meetings, and coordinating travel. - Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides, Drive) and Microsoft Office (Word, Excel, PowerPoint, Outlook). - Experience using virtual communication and collaboration tools such as Zoom, Microsoft Teams, Slack, and VoIP platforms. - Excellent written and verbal English communication skills. - Strong organizational and time management skills with exceptional attention to detail. - Ability to prioritize multiple projects while meeting deadlines with minimal supervision. - Strong problem-solving skills and the ability to anticipate executive needs. - High level of professionalism, discretion, and integrity when handling confidential information. - Comfortable working in a fast-paced, technology-driven environment. - Experience supporting executives in the technology or IT industry is preferred but not required.
