Associate Proposal Manager

• Supports the global sales team with development, coordination, and submission of high-quality proposals, ITBs, RFIs, RFPs, RFQs, Vendor Registrations, and proactive client materials across the EMEA region • Partners closely with sales, solution engineering, legal, and subject matter experts to ensure timely, compliant, and compelling responses that reflect our value proposition and client-centric approach • Manages end-to-end vendor registration processes, including document collection, formatting, approvals, and final submission through client procurement systems • Engages cross-functional stakeholders (Legal, Ethics & Compliance, Finance, Sales, Delivery, etc.) to gather required registration materials and ensure alignment with corporate standards • Tracks registration status, maintains documentation, and proactively follows up to ensure successful onboarding and eligibility for bid participation • Provides post-submission support, including responding to client clarifications, updating records, and maintaining registration validity
Job Requirements
- Relevant experience in a software sales, vendor registration, bid coordination, or proposal development environment, with strong exposure to client onboarding and procurement processes
- Strong project management and organizational skills, with the ability to manage multiple vendor registrations and concurrent deadlines across regions
- Advanced proficiency in Microsoft Word and PowerPoint, with a focus on preparing, formatting, and standardizing documents for client procurement portals and registration requirements
- Excellent written and verbal communication skills in English, including the ability to clearly and accurately complete registration forms, compliance questionnaires, and supporting documentation
- Demonstrated ability to work under tight deadlines and manage competing priorities in a fast-paced, deadline-driven environment
- Highly detail-oriented, ensuring accuracy and completeness across all vendor registration materials, forms, and supporting documentation
- Ability to collaborate effectively with cross-functional teams (Legal, Compliance, Finance, Sales, Delivery) to gather and validate required registration information
- Strong stakeholder engagement skills, with the ability to communicate professionally and influence at various levels within the organization
- Experience interpreting client procurement requirements, including onboarding documentation, compliance forms, and portal-based submissions
- Ability to work independently with minimal supervision while driving registration processes to completion
- Experience with proposal automation tools or procurement/vendor portals (e.g., Ariba, Coupa, Jaggaer) is a plus
- Experience coordinating multilingual or localized documentation for regional registrations (EMEA) is a plus
- Exposure to proposal content development and collaboration with SMEs to support tender responses as needed
