Recruiting Assistant – Temporary Assignment

Southern Home Services

• Support recruiters with candidate sourcing activities and applicant tracking. • Review and update candidate information within the Applicant Tracking System (ATS). • Maintain accurate recruiting trackers, candidate records, and hiring documentation. • Monitor open requisitions and ensure hiring data is up to date. • Coordinate interviews between candidates and hiring managers. • Communicate interview details and provide scheduling support to candidates. • Administer pre-employment assessments as needed. • Ensure timely candidate status updates and dispositioning within the ATS. • Assist with the coordination and logistics of hiring events and recruiting campaigns. • Track candidate registrations and attendance. • Support follow-up activities and candidate communications after events. • Maintain accurate records of event outcomes and hiring results. • Assist with pre-employment requirements, including background checks and drug screening coordination. • Support new hire onboarding activities and ensure required documentation is completed. • Coordinate new hire communications and onboarding schedules. • Assist with new employee orientation and onboarding-related administrative tasks. • Provide backup support to recruiters during high-volume hiring periods. • Assist with special projects and other HR-related duties as assigned.

Job Requirements

  • 1–3 years of experience in recruiting coordination, human resources, administrative support, or a related field.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Experience using Microsoft Office Suite, including Outlook, Word, and Excel.
  • Familiarity with Applicant Tracking Systems (ATS) and recruitment processes preferred.
  • Ability to handle confidential information professionally.
  • Comfortable working in a fast-paced environment with changing priorities.
  • Strong customer service mindset and ability to interact professionally with candidates, employees, and hiring managers.

Role Description The Recruitment Consultant will drive and coordinate end-to-end talent acquisition activities, primarily executing the recruitment and selection processes associated with the organizational restructuring of relevant Country Offices, while ensuring full compliance with UNFPA policies, procedures, and applicable Staff Regulations and Rules. Scope of work - Coordinate and manage the end-to-end recruitment and selection process for positions established or impacted by realignment exercises, including internal job fairs and other priority regional vacancies as assigned. - Review and finalize job descriptions and position requirements in collaboration with Country Offices, hiring managers, and the Regional HR Team. - Conduct initial job matching exercises reviews, in collaboration with the Regional HR Team and relevant advisory panel members, ensuring alignment with approved realignment principles and criteria. - Conduct application screening and manage assessments, including written assessments, competency-based interviews, presentations, and other selection methodologies, as applicable. - Support the compilation of all required recruitment information and data for required meetings. - Support the coordination of assessment scoring panels and interview panels; develop interview schedules, prepare competency-based interview questions and assessment tools, and brief panel members on selection methodologies, evaluation criteria, and compliance requirements. - Take detailed interview notes and compile assessment results, prepare selection reports and supporting documentation. - Track and monitor progress against recruitment timelines, identify risks and bottlenecks, and provide regular status updates to management. - Ensure accurate record-keeping, audit-ready documentation, and maintenance of recruitment files throughout the process. - Capture lessons learned, good practices, and recommendations arising from the realignment implementation and contribute in finalising post-implementation reporting as required. - Perform other recruitment, change management or operational HR duties as required by management. Qualifications - Completed Advanced university degree (Master's) in Human Resources, Business Administration, Organizational Psychology, or a related field. - A completed Bachelor’s degree with two additional years of qualifying experience may be accepted. Requirements - Minimum of 2 years of progressively responsible professional experience in end-to-end recruitment, talent acquisition, or HR management. - Proven track record in supporting organizational change management, restructuring, or high-volume recruitment exercises. - Deep understanding of competency-based interviewing, candidate assessment methodologies, and inclusive hiring practices. - Familiarity with UNFPA policies and procedures is highly desirable. - Proficiency in Applicant Tracking Systems (such as Quantum), HR data analytics, and compiling robust assessment results and drafting interview selection reports. - Good experience and working knowledge of MS Excel and MS Word. - Fluency in English is required. - Knowledge of Spanish, French, and/or Portuguese is an asset.
