Client Operations Analyst

• You'll own the execution side of our client operations: running data imports, generating recurring reports, supporting day-to-day client requests, and keeping producer records clean and accurate across our platform • Execute producer, agency, and appointment data imports into Producerflow • Generate and deliver recurring client reports (daily, weekly, monthly) • Respond to client requests in Slack and HubSpot using established playbooks • File bug reports in Linear with clear reproduction steps • Support data migrations, UAT testing, and one-off data corrections • Keep internal playbooks and SOPs up to date as processes evolve
Job Requirements
- 2–4 years of experience in Operations, Client support, Data analysis, or a similar analytical/ops role
- US overlap hours availability (non-negotiable): Given our US-based clients, this role requires working hours of 1:00 PM – 10:00 PM CET, Monday to Friday
- Highly self-directed and proactive (non-negotiable): You don't wait to be told what to do
- Thrives in a fast-paced environment: Priorities shift, scope changes, and you'll regularly pick up tasks outside your core role
- Technical background: Degree in Engineering, Computer Science, Mathematics, Data Science, or a similar technical field
- Bilingual English + Spanish: Fluent in both written and spoken
- SQL fluency: Comfortable writing SELECT queries with JOINs, filters, and aggregations against production data
- Data analysis skills: Strong in spreadsheets (pivot tables, lookups, basic modeling)

• Own the proactive monitoring of provider API health across 50+ banking connections. Track bank data quality metrics, API response times, and connectivity status. Identify and investigate anomalies — when time-to-authorize increases for a high-volume provider, you're the person who notices, investigates, and acts. Maintain and update the provider status channel so support, customer success, and product teams have reliable, real-time visibility. • Manage the SWIFT exception queue, resolving repair cases and coordinating with banks and/or clients to clear blockers. Handle provider verification workflows across SWIFT, Plaid, Blink, and other connectivity channels. Ensure provider data in Circit's systems is accurate and current. • Support the activation process for new bank connections — coordinating between Circit's engineering team and bank technical contacts to ensure smooth go-lives. Maintain the provider database with accurate coverage, authentication types, product support details, and connection status. • Provide post-go-live support for clients on newly activated bank connections. Create and maintain client authorization guides. Role Description We are seeking a motivated and highly skilled Commercial Operations Manager to join our team. Reporting to the Senior Vice President of Sales, you will be responsible for delivering reliable commercial reporting, supporting sales planning and compensation processes, and maintaining operational rigor across sales tools and workflows. You will collaborate closely with the sales, finance, and marketing teams to ensure seamless operational support and execution of commercial initiatives. You will focus on execution, analysis, and operational support across Prescott’s Med’s commercial activities. Qualifications - Bachelor’s degree in Business, Finance, Analytics, or related field required. - 2-4 years of experience in Commercial Operations, Sales Operations, Business Analytics or related roles. - Exposure to sales analytics, forecasting, compensation support, and CRM reporting. - In-depth understanding of CRM platforms, with a preference for Salesforce. - Proficient in Microsoft Office Suite, particularly with advanced Excel capabilities. - Experience working cross-functionally with sales, finance, and service teams, in a collaborative environment. - Proven ability to manage and improve operational processes and workflows. - Excellent communication, organizational, and problem-solving skills. - Skilled in organizing and interpreting data to create clear, actionable reports. - Capable of analyzing data and generating reports for senior leadership. - Detail-oriented with a focus on accuracy and compliance. - Leadership experience and ability to work in a fast-paced, dynamic environment. - Strong customer service orientation and ability to manage multiple priorities effectively. - Ability to travel domestically as needed.
