• Lead operational delivery of Harrison.ai and Harrison.ai Services conference presence across EU/UK industry events (e.g. ECR – European Congress of Radiology, UKIO, EuSoMII, and similar). • Plan and own all logistics for non-conference events, such as team offsites, dinners, and partner events. • Own logistics across booth setup, attendee registration, rentals and labour, venue contracts, and post-event reconciliation. • Coordinate with marketing and squad leadership on booth design, staffing, materials, and pre-event timelines. • Manage storage, shipping, and receiving of all event materials and supplies. • Track operational spend across events, vendors, and travel; partner with Finance/Strategy on budget and reconciliation. • Travel to approximately 4–6 events per year. • Provide comprehensive administrative assistance, including complex calendar management, meeting scheduling, travel arrangements, and preparation of materials for internal and external engagements. • Act as a central point of contact between leadership and both internal teams and external partners, ensuring smooth communication and alignment across time zones. • Monitor and prioritise ongoing projects and assignments, ensuring deadlines are met and deliverables are completed with excellence. • Anticipate operational needs and proactively address issues to maintain seamless daily workflows. • Manage expense reconciliation for the EU/UK leadership team as needed. • Maintain strict confidentiality when managing sensitive information and executive matters. • Own operational data hygiene in shared systems: Salesforce, Confluence, Monday.com, and SharePoint for the EU/UK business. • Define and document operating procedures so recurring activities (onboarding, conference cycles, etc.) run as repeatable workflows. • Navigate contracts through the contract management system (LawVu), including uploading, tracking, and following up to ensure smooth progression through legal review and approval. • Prepare reports, dashboards, and summaries using Salesforce, Microsoft Office Suite, and other productivity tools. • Troubleshoot and resolve day-to-day technical challenges for the leadership team, ensuring minimal disruption. • Identify and roll out tooling improvements that lift the squad’s operational throughput.
Job Requirements
- 5+ years of experience as an Executive Assistant, Senior Administrative Coordinator, Events/Operations Coordinator, or similar high-level support role.
- Demonstrated expertise in managing multiple executives and competing priorities in a fast-moving environment.
- Proven experience coordinating events and/or conference logistics end-to-end.
- Advanced technical proficiency in Salesforce, Microsoft Office Suite, and contract management platforms (LawVu experience strongly preferred).
- Exceptional organisational skills with a proven ability to manage complex calendars, projects, and deliverables under tight deadlines.
- Proven track record of discretion and confidentiality in handling sensitive matters.
- Willingness and ability to travel to 4–6 events per year across the EU/UK (and occasionally beyond).
