Role Description Our client is seeking a highly motivated Medical Billing & Healthcare Administrative Virtual Assistant to support a growing U.S.-based behavioral health and healthcare practice. This role is ideal for someone who has strong medical billing experience, enjoys working independently, and takes pride in improving operational efficiency through proactive follow-up and attention to detail. This is a remote, part-time opportunity for a detail-oriented professional who can confidently manage medical billing, insurance verification, credentialing, patient follow-ups, and administrative support functions while helping improve collections and revenue recovery. Top 3 Priorities - Medical Billing & Claims Follow-Up - Credentialing & Insurance Verification - Patient Follow-Up & No-Show Management Key Responsibilities - Medical Billing & Revenue Recovery - Process and manage medical billing activities. - Submit, track, and follow up on insurance claims. - Investigate unpaid, denied, or delayed claims. - Monitor outstanding balances and support collection efforts. - Track claim status and payment follow-ups. - Assist with revenue recovery initiatives to improve practice collections. - Generate billing, collections, and follow-up reports. - Insurance Verification & Credentialing - Verify patient insurance eligibility and benefits. - Conduct insurance verification checks prior to appointments. - Coordinate provider credentialing with insurance payers. - Maintain accurate payer and credentialing records. - Assist with insurance-related inquiries and claim resolution. - Patient Engagement & Scheduling - Conduct follow-up calls for missed appointments and no-shows. - Re-engage inactive patients to improve retention. - Schedule and coordinate patient appointments. - Manage inbound and outbound patient communications. - Provide professional and empathetic patient support. - Direct patients to appropriate platforms including Headway, GoTherapy, and Clarity. - Healthcare Administration & Operations - Update and maintain patient records within the EMR. - Provide administrative and back-office support. - Coordinate with internal staff regarding patient and billing matters. - Maintain accurate documentation and records. - Manage communications through RingCentral. - Support healthcare administrative projects and special assignments as needed. Systems & Platforms Used - Deborah EMR (Primary Electronic Medical Records System) - Clarity – Patient Referral & Management Platform - Headway – Billing & Insurance Platform - GoTherapy – Therapy & Billing Platform - RingCentral – Phone & Communication System Qualifications - An experienced Medical Billing Specialist with healthcare administrative experience. - A Registered Nurse with medical billing experience (highly preferred but not required). - Comfortable handling billing, credentialing, insurance verification, and patient follow-ups. - Proactive, resourceful, and solutions-oriented. - Motivated to improve collections, streamline workflows, and support practice growth. - Someone who takes ownership of their work and consistently delivers results with minimal supervision. - Medical billing experience is required. - Previous healthcare administration or medical office experience is strongly preferred. - Experience with insurance verification and provider credentialing is highly preferred. - Experience working as a Virtual Assistant: Preferred. - Medical degree or healthcare-related education: Preferred but not required. - Active medical license (RN, PT, Physician, etc.): Preferred but not required. - Experience with behavioral health, healthcare administration, nursing, or medical office operations is highly desirable. - Experience with Tebra EMR/EHR systems is a plus.
