Role Description The Executive Assistant will support the client by providing high-level administrative, compliance, coordination and follow-up support directly to the Managing Director. This role will assist with driver compliance administration, strategic sales follow-up, company activity coordination and general executive support to ensure key tasks, deadlines and business priorities are managed accurately and efficiently. - Provide dedicated executive and administrative support to the Managing Director across daily business activities, priorities and follow-up requirements. - Manage the Managing Director’s calendar, meeting schedules, reminders, appointments and internal follow-up items. - Prepare meeting agendas, take notes where required and maintain clear action registers to ensure agreed tasks are completed on time. - Support strategic sales follow-up by tracking client, prospect and stakeholder action items, preparing follow-up reminders and ensuring key next steps are not missed. - Assist with CRM, pipeline or sales administration tasks as directed by the Managing Director, including updating contact records, follow-up notes and task reminders. - Support driver compliance administration, including maintaining records, tracking documentation, following up on missing information and assisting with compliance-related reporting. - Assist with the coordination of driver onboarding documentation, licence records, compliance checks, training records and other operational documents as required. - Liaise with internal team members, drivers, suppliers and external stakeholders on behalf of the Managing Director in a professional and timely manner. - Arrange company activities, internal meetings, staff events, business functions, travel arrangements and other company-related coordination requirements. - Prepare basic reports, summaries, spreadsheets, correspondence and administrative documents to support management decision-making. - Monitor key deadlines, outstanding tasks, approvals and follow-up items to ensure the Managing Director has clear visibility across priorities. - Maintain accurate records, filing systems, compliance documentation and administrative registers in line with company procedures. - Handle confidential company, employee, driver, supplier and client information with professionalism and discretion. - Assist with internal communication, reminders and coordination across departments to ensure smooth business operations. - Identify opportunities to improve administrative workflows, follow-up processes and document control. - Ensure all external or non-Managing Director-related task requests are escalated for approval before being accepted. - Other position-level duties as directed by the Managing Director. NOTE: This role is dedicated to supporting the Managing Director and related business priorities. Any work that falls outside the Managing Director’s direct administrative, compliance, sales follow-up, or company coordination requirements should be discussed with and approved by the Managing Director before being accepted or actioned. Qualifications - Minimum 5+ years’ experience as an Executive Assistant, Personal Assistant, Administration Officer, Compliance Administrator or similar business support role. - Previous experience supporting a Managing Director, CEO, business owner or senior executive is highly regarded. - Experience working in transport, logistics, operations, construction, manufacturing or another compliance-driven environment is preferred. - Understanding of driver compliance administration, licence records, onboarding documentation, training records or operational compliance processes is highly regarded. - Strong administrative skills with the ability to manage calendars, meetings, documents, follow-up registers and competing deadlines. - Good understanding of sales follow-up processes, CRM administration, pipeline tracking or client communication workflows. - Proficiency in Microsoft Office, especially Outlook, Word and Excel. - Experience using CRM systems, task management tools or compliance management systems is highly regarded. - Strong written and verbal communication skills, with the ability to liaise professionally with internal teams, drivers, suppliers, clients and external stakeholders. - High attention to detail and ability to identify missing information, incomplete records, overdue tasks or compliance gaps. - Strong organisational and time management skills, with the ability to prioritise effectively and work to deadlines. - Ability to follow instructions carefully, escalate issues early and maintain strong alignment with the Managing Director’s priorities. - Reliable, discreet and professional when handling confidential business, employee, driver, client and supplier information. - Strong problem-solving skills and ability to work independently while keeping the Managing Director informed. - Process-driven, proactive and committed to maintaining accurate records, clear follow-up systems and efficient administration. - Willingness to work strictly within the scope of support for the Managing Director, with any external task allocation requiring prior approval.
