Role Description This is a leadership position that requires a few years of leadership/administrative experience that needs to be clearly showcased on your resume. The Administrative Assistant will provide high-level administrative and organizational support to the Owner/Operator of Chick-fil-A City Gate. This individual will help manage communications, coordinate schedules and meetings, support projects, and assist with administrative systems that keep the restaurant operating efficiently. The ideal candidate is dependable, resourceful, tech-savvy, and aligned with Chick-fil-A’s values of excellence, care, and servant leadership. Key Responsibilities - Executive & Calendar Management - Manage and organize the Owner/Operator’s inbox, prioritizing and categorizing communications. - Draft and respond to emails on behalf of the Operator when appropriate. - Coordinate meetings, leadership one-on-ones, and team events. - Manage calendar invitations and maintain effective time-blocking for priorities and focus. - Assist in maintaining organization across ongoing projects and deadlines. - Travel Coordination - Coordinate travel arrangements for business trips, conferences, and training events. - Book accommodations, transportation, dining reservations, and itineraries as needed. - Maintain detailed travel schedules and reminders. - Meeting & Project Support - Prepare meeting agendas, notes, and follow-up action items. - Assist with project management and tracking of leadership initiatives. - Support planning and execution of team events, retreats, trainings, and development sessions. - Create presentations, spreadsheets, reports, and organizational documents. - Administrative & Financial Support - Process vendor payments through RPIS Payment System. - Assist with payroll-related tasks, including time clock corrections and punch reviews. - Reconcile company credit card transactions and maintain organized receipts and records. - Maintain confidential employee and operational documentation. - Assist with team member communication, training records, and performance documentation. - Talent & Scheduling Support - Assist with creation and adjustments of Front of House (FOH) and Back of House (BOH) schedules using workforce management systems. - Support interview follow-up communication and hiring documentation. - Help maintain organization throughout onboarding and staffing processes. - Creative & Communication Support - Create professional internal communications, announcements, recognition posts, and team updates using Canva or similar platforms. - Draft recommendation letters, scholarship references, and recognition messages. - Assist with planning and ordering team appreciation gifts, awards, and recognition materials. Qualifications - Previous administrative assistant or executive assistant experience preferred (virtual support experience is a plus). - Strong organizational skills with exceptional attention to detail. - Excellent written and verbal communication skills. - Proficiency in Google Workspace and/or Microsoft Office Suite. - Experience with scheduling or workforce management software preferred (Nation experience is a plus). - Ability to handle confidential information with professionalism and discretion. - Self-motivated with the ability to manage multiple priorities independently. - Strong alignment with Chick-fil-A’s culture and values.
