Accounts Payable Specialist

• manage invoices • liaise with various departments regarding payments • interact with vendors • Vendor Onboarding experience • knowledge of W-9’s, W-8BEN’s • acceptable banking support and credentials • 1099’s • Inputting invoices into the general ledger accounting system • establishing good relationships across departments and business units • ensuring that all approved invoices are prioritized and paid in accordance with cash discount potential • understanding vendors used by the Company • processing Electronic Funds Transfer requests • Matching invoices to payment requests • reconciling vendor statements • researching and correcting discrepancies • maintaining files and documentation thoroughly and accurately • developing/maintaining payable aging reports • auditing employee expense reports • understanding of payment application to the invoice • interfacing with management in various departments
Job Requirements
- A.A. or B.S. in Accounting preferred
- 3 or more years of experience in accounts payable or general accounting functions
- Excellent interpersonal skills including verbal and written communication
- Experience with Oracle Fusion a plus
- Pride in accuracy and attention to detail
- High level of organizational skills
- Proficient in Microsoft Office software applications; primarily Excel.
- Ability to work well in a fast-paced professional office environment
- Familiarity with handling intercompany transactions and reconciliations
- Experience with international transactions and foreign exchange a plus
- Great follow up skills, ability to take initiative and think out of the box
- Team Player
- Ability to meet deadlines
- Exposure and experience in Sarbanes Oxley a plus

Role Description Completes payments and controls expenses including, but not limited to, receiving, processing, verifying, and reporting expenditures for payment. Implements and coordinates accounts payable processes; analyzes reports and KPIs while ensuring compliance with legislative requirements and internal policies. - Serve as the primary contact for European Brands accounts payable activity; maintain strong relationships with third-party vendors. - Complete treasury functions related to ACH, checks, and wires, including preparing ACH and weekly check runs; process and audit ACH, checks, wires, and commissions; upload to bank and print in-house checks. - Receive, verify, audit, and analyze tax applications. - Complete vendor accruals for items not yet invoiced or received; collaborate with responsible personnel for review; process payments for assigned accounts. - Review and activate new vendors, including documentation of W-9s, ACH/paper check paperwork, invoices, contracts, purchase orders, and verification of federal ID numbers. - Resolve contract, invoice, or payment discrepancies; issue stop payments or amendments, including requesting and validating credit memos. - Review, reconcile, research, and correct vendor statements; ensure compliance of vendor files; maintain internal and external vendor relationships; communicate workflow items to appropriate departments to resolve issues. - Research, recommend, and implement accounts payable process improvements for workflow issues, including purchase orders, goods receipts, and service entry problems. - Provide information for audits, including quarterly and annual audits, and support month-end closing activities in collaboration with accounting. - Perform other duties as assigned.
