• Support the team by providing proactive sales, prospecting, CRM, speaker acquisition, and event administration support across its commercial and conference operations. • Research and identify prospective exhibition clients, sponsors, partners, speakers, and industry contacts across relevant target sectors. • Support outbound outreach activity via email, LinkedIn, phone, and other approved channels on behalf of the sales and conference teams. • Execute structured outreach campaigns, ensuring follow-ups are timely, professional, and accurately tracked. • Qualify inbound leads and route relevant opportunities to the appropriate sales team member. • Maintain accurate and up-to-date sales and speaker pipelines, including prospect details, activity notes, next steps, and outcomes. • Use tools such as LinkedIn Sales Navigator, Apollo, Zoho CRM, and similar platforms to research, identify, and engage prospects. • Support the conference team with speaker acquisition, including initial outreach, confirmations, follow-ups, briefing information, and event preparation. • Manage speaker communications and ensure confirmed speakers receive relevant requirements, deadlines, materials, and event information. • Collate, organise, and track speaker presentation decks and supporting materials ahead of each event. • Maintain accurate speaker trackers and support the administrative process from speaker identification through to confirmed delivery. • Manage day-to-day CRM administration, including updating records, logging activities, tracking pipeline progress, and maintaining data accuracy. • Prepare sales reports, pipeline summaries, briefing notes, meeting notes, and background research for the Head of Event Partnerships. • Monitor follow-up schedules to ensure leads, sponsor opportunities, partner conversations, and speaker communications progress appropriately. • Assist with preparing proposals, presentations, sales materials, and other commercial or event-related documents. • Book and coordinate meetings and calls on behalf of the Head of Event Partnerships, including calendar coordination and post-meeting follow-up support. • Work closely with account management and conference production teams to support smooth handovers, event preparation, and client or speaker coordination. • Provide general administrative support to the broader sales, partnerships, and events team as required. • Other position-level duties as they arise.
Job Requirements
- Bachelor’s degree in Business Administration, Marketing, Communications, Events Management, Sales, or a related discipline is preferred.
- Minimum 2-5+ years’ experience in sales support, business development support, CRM administration, events coordination, conference support, or a similar commercial support role.
- Previous experience supporting sales outreach, prospecting, lead qualification, pipeline management, or business development activity is highly regarded.
- Experience within events, conferences, exhibitions, sponsorship, media, partnerships, or a fast-paced commercial environment is advantageous.
- Strong CRM knowledge is required, with experience using Zoho CRM highly advantageous.
- Experience using LinkedIn Sales Navigator, Apollo, or similar lead generation, prospecting, or lead retrieval tools is desirable.
- Confident and professional communication skills across email, phone, LinkedIn, and other business communication channels.
- Strong written communication skills, with the ability to prepare clear outreach messages, follow-ups, briefing notes, and stakeholder communications.
- Highly organised with strong attention to detail and the ability to manage multiple workstreams, follow-ups, deadlines, and stakeholder requests at once.
- Comfortable with outbound outreach and able to remain confident, persistent, and professional when engaging prospects, sponsors, partners, and speakers.
- Strong administrative skills with the ability to maintain accurate CRM records, trackers, reports, files, and supporting documentation.
- Ability to prepare sales reports, pipeline updates, meeting notes, and background research accurately and efficiently.
- Proactive and self-motivated, with the ability to take ownership of tasks, follow through on actions, and work without close supervision.
- Good stakeholder management skills, with the ability to liaise professionally with internal teams, external clients, sponsors, partners, and speakers.
