Role Description You will serve as the operational engine of a digital talent management pod — handling brand sourcing and outreach, deal tracking, brand campaign execution, team admin & scheduling, and contract redlining. This role is ideal for someone who thrives in a fast-paced, high-volume environment, takes pride in flawless execution, and stays calm under pressure. You will be embedded directly in key pod workflows, working primarily with a pod member who will provide hands-on direction and training. This role is designed as a pathway into digital talent management and brand partnerships. Duties and Responsibilities - Brand Sourcing & Outreach - Send daily customized outbound brand outreach emails using templates and Affinity CRM - Execute systematic follow-ups every 2–3 business days for non-responders - Track and maintain brand and deal pipelines in Affinity (status, stages, communications) - Respond to inbound RFPs and brand inquiries in a timely manner - Build targeted brand outreach lists by vertical and category - Brand Deal Contracting & Execution - Support contract workflows: redlining against the pod's guide, version tracking, and storage; coordinate with Greenroom (third-party legal) for final contract review - Manage and track brand campaign deliverables (content, demos, links) and confirm client and brand satisfaction post-deal - Assist with invoicing and deal documentation - Update CRM tools (Affinity, CreatorIQ, Airtable) with deal status and pipeline data - Scheduling & Administrative Support - Manage scheduling for creator calls, brand meetings, and internal pod syncs - Inbox management: filtering, templated replies, and follow-ups as needed - Book and coordinate team and client travel and gifting - Support content calendar maintenance and upload scheduling - Attend daily pod stand-ups and take detailed meeting notes - Produce daily and weekly pod status reports - Provide ad hoc operational support as needed by pod leadership - Pull social media and content performance analytics as requested - Maintain creator profiles, internal rosters, and deal tracking sheets Qualifications - High sense of urgency and responsiveness; this team moves fast - Exceptional written communication — strong grammar, concise messaging, and an eye for detail - Organized and process-driven — able to manage high-volume tasks without things falling through the cracks - Comfortable with ambiguity and able to problem-solve independently - Even temperament — not easily rattled when things go sideways - Proficient with Google Workspace (Gmail, Docs, Sheets, Calendar) Nice-to-Haves - Familiarity with Affinity CRM, CreatorIQ, or Airtable - Experience in talent management, influencer marketing, or the digital creator economy space - Understanding of social media platform sponsorship (YouTube, Twitch, TikTok, etc.) and brand deal structures - Experience supporting a high-volume outreach function (sales, partnerships, or similar) Benefits - Permanent remote work flexibility - Paid Time Off - Health Maintenance Organization (HMO) coverage - Annual performance bonuses - Dedicated coaches offer an extra channel of support and skill-building - Opportunities for professional growth Company Description Hireframe provides nearshore and offshore staffing solutions, operating as a remote-first organization with team members located in the United States, Mexico, and the Philippines.
