Role Description Milestone Business Solutions is seeking a remote Payroll Specialist to collaborate with our internal team and small-business clients. You will administer weekly, bi-weekly and semi-monthly payroll for companies across the country in various systems and industries. You will provide our clients with innovative, structured solutions that scale, add value and build trust. A Day in the Life - Accurately process client payroll, ensuring compliance with all relevant laws and internal policies. - Ensure hours are properly imported from Time & Attendance systems. - Oversee processing of payroll changes (e.g., new hires, terminations, raises, etc.). - Maintain accurate records and prepare reports. - Submit 401k and HSA contributions as needed. - Resolve issues and answer payroll-related questions. - Maintain a working knowledge of all payroll-related systems used by our clients (including 401K and HRIS) to serve our clients' needs now and provide recommendations for their business in the future. Qualifications - 4+ years of direct, hands-on payroll experience. - Experience working with multi-state companies/clients. - In-depth knowledge of payroll compliance. - Excellent time management and strict adherence to deadlines. - Experience in some or all of the following systems is highly preferred: Gusto, Paylocity, Rippling, ADP, Paychex, iSolved, Paycom. - Certifications like CPP or FPC are preferred but not required. - Bachelor's degree preferred. Experience accepted in lieu of a degree. • Process payroll for multiple international locations, ensuring accuracy and timeliness • Collaborate with local accountants and external payroll vendors to manage end-to-end payroll operations • Prepare and validate payroll data, including employee lists, accruals, deductions, and bonuses • Maintain payroll accounting records and support management accounting reporting • Analyze payroll data, costs, and trends to support business decision-making • Ensure accurate posting of payroll-related entries in internal accounting systems • Handle payroll-related inquiries from employees and managers, providing clear explanations and support • Support salary changes, bonus calculations, and compensation adjustments in line with company policies • Prepare internal reports and documentation (including salary certificates and management reports) • Identify opportunities for process optimization and automation within payroll and reporting workflows

Process and reconcile daily cash movements for complex transactions, review adherence to legal agreements, interpret legal documents for issue resolution, and collaborate with teams to ensure compliance and timely delivery.

• Process weekly payroll accurately and on time, including timekeeping inputs, adjustments, deductions, and taxes • Collect and validate payroll data from multiple sources and systems • Perform payroll audits and reconciliations, including payroll-to-GL alignment • Ensure compliance with federal, state, and local payroll tax requirements • Serve as the primary point of contact for payroll-related employee inquiries • Design and implement standard operating procedures (SOPs) for payroll processes • Establish and maintain a payroll control framework, including: Pre-and post-payroll validation checks, Approval workflows, Documentation standards • Identify and mitigate risks related to manual processes and single points of failure • Partner with Finance and HR to improve data accuracy and process flow
