Document Services Coordinator

Hilton Grand Vacations

Role Description As a Document Services Coordinator at Hilton Grand Vacations, you will be responsible for keeping all contract sales documents in sync with legal and company policies. This dynamic role requires outstanding organizational skills and careful attention to detail to maintain our world-class service. Applicants must be located in the Orlando, Florida area or within a reasonable commuting distance. Job Responsibilities: - Review and examine contract sales documents to ensure accuracy and adherence to legal and company policies. - Verify all financial terms to ensure adherence to the company's stringent underwriting guidelines. - Confirm title requirements, including vesting, tenancies, and inventory. - Redact personal identifiable information and bank/credit card details. - Identify issues in contracts missing documents or containing incorrect information. - Enter audit findings into various tracking systems (e.g., Chorus and TSW). - Carry out reasonable requests by management. - Receive and validate contract packages sent from site; notify site of discrepancies. - Audit contract documents for accurate execution and compliance. - Receive and review correspondence such as rescission letters and owner kits. - Document contracts received in TSW and run reports for audit processes. - Manage contract workflow to update status changes daily, including rescission cancels and chargebacks. - Prepare contract packages and cancels for the imaging department daily. - Provide excellent customer service to field offices and corporate partners to resolve document issues. - Maintain a minimum average production level as set by management. - Provide support and vacation coverage for the DSC audit team as required. - Represent Hilton Grand Vacations Values of Hospitality, Integrity, Leadership, Collaboration, Ownership, and Now. - Complete all required company training and compliance courses. - Adhere to company standards and maintain compliance with all policies and procedures. - Perform other related duties as assigned. Qualifications - Strong organizational skills with the ability to prioritize and function in multiple computer programs. - Ability to produce high-volume work with a high degree of accuracy. - Strong communication skills to convey contract issues and resolutions effectively. - Excellent interpersonal skills to interact positively with process partners. - Willingness to work extra hours when required to achieve company objectives and deadlines. - Ability to multitask and work well under pressure. - Enthusiastic great teammate attitude. Preferred Qualifications - Previous experience in timeshare is a plus. - Knowledge of documents required for timeshare closings. - Proficiency in MS Excel for crafting and maintaining spreadsheets.
