Role Description The Licensing Specialist is responsible for administering and coordinating inbound licensing requests related to Sync licensing, and other Reproduction Rights (RR) as required. Key Responsibilities - Receive, qualify, and process inbound licensing requests related to Sync licensing, and other Reproduction Rights (RR), ensuring accurate handling of licensing requests. - Respond to incoming inquiries (phone, email, and other channels) within established timelines, providing clear, professional, and timely communication. - Set up and manage licensing cases and products within internal systems to track requests from intake through execution. - Prepare, generate, and amend Sync licensing agreements, ensuring accuracy of terms, rights, and documentation. - Coordinate with rights holders (as required) to support proper handling and execution of licensing requests. - Administrate licenses in accordance with applicable agreements and internal guidelines. - Maintain accurate and organized records of all licensing activity, including agreements, communications, and repertoire-related information. - Utilize CRM and internal systems to document licensing activity, track request status, and ensure data accuracy. - Provide guidance and support to licensees regarding licensing requirements, including Reproduction Rights (RR) obligations and general Canadian copyright considerations. - Communicate effectively with licensees, rights holders, and internal stakeholders to ensure smooth and efficient processing of requests. - Monitor and follow up on open or pending requests to ensure timely completion and adherence to service standards. - Collaborate with internal teams, including Legal, Finance, Royalty Operations, Royalty Collections, and Licensing Operations, to support accurate execution and reporting. - Identify and escalate issues or process gaps, contributing to improvements in workflows, documentation, and service delivery. - Complete assigned tasks and other duties as required. Qualifications - 2+ years experience in Sync Licensing (preferred). - Understanding of Reproduction Rights (RR), Sync licensing, and the publishing industry. - Knowledge of the bicultural Canadian market. - Bilingual in French and English. - Exceptional customer service skills with a strong service-oriented mindset. - Excellent organizational and time management skills. - Strong communication and interpersonal skills. - Professional telephone etiquette and communication presence. - Proven ability to identify issues and apply effective problem-solving approaches. - Self-starter with the ability to work independently and take initiative. - Collaborative team player with the ability to work cross-functionally. - Detail-oriented, with strong accuracy in documentation and data management. - Proficiency in Microsoft Office applications (Word, Excel) and CRM/database systems.
