This role is responsible for the end-to-end management of the RFP/RFI lifecycle, ensuring that every submission is on-time and of the highest quality. You will be the central hub connecting Sales Executives, Solution Design, Legal, and Operations, preventing bottlenecks and maintaining our "Source of Truth" library. This is a high-impact role designed to eliminate friction in the proposal process and ensure our subject matter experts can focus 100% on winning the work. Location: Costa Rica, Remote Contract Type: Full-Time Employment Start Date: ASAP SweetRush is a remote organization, and as such, all resources must be technically savvy, have access to a strong internet signal, be comfortable with virtual/instant messaging and conferencing tools, and generally be available during established working hours. Your Impact and Responsibilities: Proposal Management (The "Air Traffic Controller") - Timeline Ownership: Manage the proposal calendar, ensuring no deadline is ever missed, and every stakeholder is aware of their milestones. - Task Assignment: Schedule and manage reviews, assign specific sections to stakeholders, and proactively encourage contributors to ensure timely completion. - Proposal Integrity: Take ownership of integrating company-specific information—including legal, accounting, and policy documentation—into proposals to ensure all administrative requirements are met with precision. - Quality Assurance: Manage the final assembly of RFx documents, ensuring they meet all technical requirements before submission. Perform rigorous final checks on all submissions to ensure 100% hyperlink functionality, consistent formatting, and adherence to client-specific submission guidelines. Procurement & System Management - Portal Management: Serve as the primary administrator for client procurement systems and vendor portals, managing logins, credentialing, and document uploads. - Compliance Oversight: Ensure that all mandatory company data, certifications, and compliance forms are current and accurately reflected within various procurement platforms. Knowledge Management & "Source of Truth" - Library Maintenance: Lead regular "housecleaning" cycles to archive outdated assets and refresh the central library of proposal content. - Boilerplate Ownership: Coordinate with Legal, Accounting, and Operations to keep company policy documentation, financial info, and legal riders current and accessible. - Asset Refresh: Ensure that the most successful answers are captured and re-integrated. Design & Brand Liaison - Creative Coordination: Act as the primary bridge to the Design team, ensuring the SDR and Sales Executives have what they need for successful proposal completion. - Standardization: Ensure all outgoing proposals and presentation decks align with SweetRush’s professional standards. Operational Synergy - Resource Coordination: Support handoff of requests to resourcing partners and coordinators to secure the right talent for every pitch. - Process Integrity: Identify gaps in the proposal process and partner with Operations to implement scalable solutions for the Client Solutions team.
