Role Description The Talent Acquisition Coordinator ensures a high-quality, “red-carpet” candidate experience by coordinating recruiting and onboarding operations across standard and high-volume hiring needs. This role supports recruiters and hiring managers by managing interview scheduling, offer and onboarding logistics, compliance workflows, and recruiting data accuracy—ensuring candidates are fully prepared for day one while meeting hiring timelines and throughput goals. - Coordinate interview scheduling, rescheduling, and confirmations for individual and high-volume hiring, including batch interviews and cohort-based starts. - Prepare and send offer materials, assignment confirmations, and onboarding instructions through ATS and talent marketplaces (e.g., Upwork), ensuring accuracy and alignment with approved guidelines. - Launch, track, and follow up on background checks, license and language verification, conflicts checks, and other compliance requirements until cleared. - Ensure completion of onboarding requirements, including document collection, I-9/E-Verify processing, and start-date readiness. - Maintain accurate, real-time data in ATS/HRIS systems, including candidate stages, sources, notes, flagged fields, and readiness status. - Produce and distribute recurring recruiting and onboarding reports and dashboards that highlight pipeline health, offer acceptance, compliance status, and start readiness. - Notify hiring managers, recruiters, operations, and onboarding partners of offer acceptances, start dates, and cohort rosters; escalate risks or blockers early. - Partner closely with Recruiters, Sourcers, HR Onboarding, Operations/Scheduling, and Hiring Managers to ensure smooth handoffs and timely hires. - Support employment reputation management on job boards and marketplaces by maintaining accurate postings and coordinating timely responses with leadership. - Contribute to continuous improvement by standardizing templates, checklists, workflows, and automations to reduce cycle time and rework.
