About Us: Here at the Healthy Back Institute, we are on a mission to transform the way people think about and treat pain. Since 2003, we have helped millions of people around the world reclaim their freedom from pain and start loving life again. Everything that happens at the Healthy Back Institute is rooted in our core values: Freedom, Love, Team, Growth, Excellence, and Courage As we transition from a legacy custom tech stack to a modern, scalable system centered on UltraCart, we are hiring a Business Systems Manager, Revenue Systems to take full ownership of the systems that power our business. The Opportunity: This is not a traditional system administration role. As our Business Systems Manager, you will own and operate HBI’s revenue and business systems end-to-end, ensuring that marketing, commerce, fulfillment, and customer experience run cleanly, without dependency on engineering. You will act as the primary business-facing systems owner, responsible for execution inside platforms, system reliability, and enabling teams to move quickly without technical bottlenecks. This role exists to solve: - No single owner of systems end-to-end - Execution delays due to engineering dependency - Data inconsistencies and unclear reporting definitions - Slow deployment of funnels, offers, and system changes This is a full-time, exempt, individual contributor role reporting to the COO. Core Outcomes (What Success Looks Like) - Orders, payments, subscriptions, and fulfillment run cleanly with no manual intervention - Marketing → commerce → fulfillment → customer success systems are fully connected - Funnels and offers can be launched without engineering support - System issues are identified and resolved quickly - Reporting is accurate, standardized, and trusted across systems The Team: The Business Enablement Operations team ensures that systems, workflows, and data infrastructure support efficient, scalable operations across the company. You will partner closely with: - Customer Success - Finance & Supply Chain - Marketing - External vendors and technical partners Who You Are: - End-to-End Systems Owner: You take accountability for how systems perform across the business- not just maintaining them, but ensuring they drive outcomes. - Revenue Systems Operator: You understand how systems connect across the full revenue lifecycle: funnel → checkout → payment → fulfillment → retention. - Hands-On Executor: You are comfortable working directly inside platforms- configuring offers, subscriptions, workflows, and integrations. - Systems Optimizer: You improve what exists. You don’t need to rebuild systems- you make them better, faster, and more reliable. - Business Translator: You bridge the gap between business needs and system execution. You don’t wait for tickets- you solve. - Data-Aware Thinker: You understand how data flows across systems and can help define what needs to be measured and how. Who you are not: - A reactive IT or ticket-based support technician - A pure developer who prefers building from scratch vs operating within systems - A people manager or high-level strategist removed from execution - Someone who relies on engineering to move work forward What You Have: Required: - 5+ years in systems, technical operations, or revenue systems roles - Experience owning or operating end-to-end commerce systems, including: - Front-end funnels / offers - Checkout and transaction flows - Payment gateways and subscriptions (required) - Proven experience working with vendor-managed systems and integrations - Proven ability to: - Configure and execute directly inside systems (not just manage vendors) - Troubleshoot system issues at the root level (data flows, logs, integrations) - Maintain system stability across order → payment → fulfillment lifecycle - Document workflows, dependencies, and system architecture Preferred Backgrounds: - Experience with platforms such as: - UltraCart, Shopify Plus, Salesforce, HubSpot, Oracle ecosystems - Experience in DTC, eCommerce, SaaS, or subscription-based environments - Exposure to reporting layers (e.g., BigQuery, BI tools) Nice to Have (Bonus): - Technical or development background (ability to navigate logs, integrations, APIs, or data structures) - Experience supporting or defining business intelligence / reporting systems - Familiarity with data modeling, reporting logic, or dashboard tools - Ability to read and interpret system logs, data structures, or integration flows to diagnose issues and support system design - This role is not a pure development position, but candidates with technical depth will be able to move faster and operate with greater independence. What You’ll Get To Do: System Ownership & Reliability - Own configuration, setup, and ongoing health of all core revenue systems - Ensure orders, payments, subscriptions, and fulfillment run cleanly without manual intervention - Identify and resolve system issues quickly to prevent revenue disruption Execution Inside Systems - Build and configure: - Products, offers, subscriptions - Funnels, upsells, workflows - Enable Marketing and Customer Success teams to execute without engineering dependency Integration & Data Flow - Maintain connections across: - Marketing → commerce → fulfillment → customer success - Identify and resolve: - Broken integrations - Data inconsistencies - Workflow gaps System Ownership & Vendor Representation - Serve as the primary business representative to all system vendors and platforms (e.g., UltraCart, Klaviyo, ShipMonk) - Own how HBI leverages each system. Not just usage, but outcomes and performance - Translate business needs into clear system requirements and configurations - Drive vendors and external partners toward resolution, improvements, and execution - Validate system outputs, data accuracy, and implementation quality - Ensure HBI (not vendors) maintains control and understanding of system behavior - You are not waiting on vendors. You are directing how systems support the business. Vendor & Platform Ownership - Own relationships with all system vendors and platforms - Act as the accountable owner of system performance and outcomes - Drive issue resolution, escalations, and improvements with urgency - Ensure vendors execute against clearly defined business requirements - Prevent vendor dependency by maintaining internal system knowledge and control Reporting & Data Foundations - Partner with the business to define: - Key metrics - Data definitions - Reporting requirements - Support the creation of standardized reporting frameworks - Interface with BI or technical resources for dashboard development This role owns what should be measured and how it is defined, not necessarily full dashboard development. Documentation & Process - Document all systems, workflows, and dependencies - Create repeatable processes that reduce risk and reliance on individuals - Establish clear system ownership and accountability Scope of Ownership Core Systems - UltraCart (system of record) - Klaviyo (email and SMS lifecycle) - ShipMonk (fulfillment) - Chargebacks911 (revenue protection) - Call center platform (UltraCart or external) - BigQuery (reporting layer) - Wicked Reports (if implemented) Supporting Tools - VWO, GTmetrix - Landing page tools (as needed) - Google Workspace (light admin only) Out of Scope - Custom development - Paid media execution - Finance/accounting ownership - Creative production Opportunities and Challenges You’ll Be Excited to Help Us With: HBI is actively transitioning from a legacy system to UltraCart. This role is not responsible for executing the full migration alone, but is critical to its success. During migration: - External technical resources will support: - Data extraction and transformation - Subscription/token handling - Complex integrations This role will: - Own coordination and system setup - Ensure platforms are correctly configured - Validate outputs and system readiness - Take full ownership post-migration Compensation: - Base salary: $90,000 – $115,000 Why You’ll Love It Here: - The People. You will be surrounded by some of the most talented, supportive, smart, and kind people, leaders and teams. People you can be proud to work with. - The Mission.
