Sales Operations Specialist

Decentralized Masters

• Own accuracy of HubSpot CRM configuration: pipelines, deal stages, properties, workflows, and permissions. • Ensure every lead, deal, and contact has correct lead status’, lifecycle stages, ownership, and next steps. • Maintain strict data hygiene standards (identifying/merging duplicates, no stale deals, missing properties, or broken workflows). • Enforce CRM usage standards across Setters and MDs. • Build and maintain automation for lead routing and assignment, task creation and follow-ups, deal stage progression, call outcomes, and disposition tracking. • Reduce manual admin work for sales reps wherever possible. • QA all automations to ensure reliability and compliance. • Maintain accurate, real-time visibility into pipeline value and velocity, close rates, and conversion metrics. • Build and maintain sales dashboards for leadership. • Support forecasting and revenue reporting in collaboration with Finance and Data teams. • Manage and support integrations between HubSpot and dialers (e.g., Aloware), calendars and scheduling tools, payment platforms (e.g., Whop), analytics and BI tools. • Troubleshoot system issues and coordinate fixes with internal tech or third-party vendors. • Translate sales process changes into CRM logic and automation. • Partner with Sales Leadership to ensure systems reinforce desired behaviors. • Create and maintain SOPs for sales roles, systems, and workflows. • Act as the point person for Sales Ops requests, improvements, and bug fixes. • Ensure CRM processes align with internal compliance standards (FTC/SEC-aware language, disclaimers, documentation). • Maintain audit-ready records for sales activity and deal history. • Partner with Security/IT on access control and data governance.

Job Requirements

  • 2–5+ years in Sales Operations, RevOps, or CRM Administration
  • Hands-on experience with HubSpot or similar CRM (required)
  • Mid–Senior level Sales Operations experience
  • Strong background in sales automation and workflow design
  • Experience supporting high-ticket or complex sales cycles preferred
  • Highly systems-oriented and detail-driven
  • Strong understanding of sales metrics and funnels
  • Comfortable working cross-functionally with Sales, Marketing, Fulfillment, and Data
  • Proactive problem-solver who spots issues before they become revenue problems
  • Clear communicator who can translate business needs into system logic
  • Bonus (Nice to Have): Experience in high-growth, remote-first environments, Familiarity with Whop, aloware, or BI tools, Exposure to compliance-heavy industries (finance, education, crypto, etc.)
