Client Proposal Coordinator

BPM LLP

• Serve as the primary coordination point after a proposal or client pursuit request is initiated, ensuring opportunities are logged, organized, and routed appropriately. • Ensure intake requests are complete and ready to move forward by coordinating with stakeholders to gather required discovery information, notes, supporting documentation, and qualification details. • Enter, maintain, and update opportunity details in Salesforce, ensuring clean data, required fields completed, accurate stages and statuses, and timely updates throughout the opportunity lifecycle. • Schedule and coordinate meetings related to proposals and other client growth initiatives, including kickoffs, discovery follow-ups, internal working sessions, reviews, and debriefs. • Prepare agendas, distribute materials, track follow-up action items, and maintain clarity around next steps. • Maintain visibility across active pursuits and related initiatives by tracking deadlines, assignments, dependencies, and handoffs, escalating risks or gaps early. • Support proposal development by coordinating inputs and managing version control and document organization. • Help gather pricing inputs and supporting assumptions from the appropriate teams, and help coordinate pricing reviews and approvals with BD and service line leadership. • Manage the proposal review process, including routing drafts for review, consolidating edits, maintaining the review schedule, and ensuring final quality checks. • Track proposal activity and outcomes, including win/loss status and key metrics; maintain proposal reporting and dashboards, and support regular win-rate reporting. • Partner with administration team with Engagement Letter generation in hand with Proposal execution. • Provide day-to-day administrative support related to various client growth initiatives as needed. • Assist with the preparation and distribution of content (presentations, proposals, internal communications, event materials, etc.). • Maintain organized digital files, templates, credentials, and other relevant resources and coordinate updates across systems. • Perform quality checks on proposal and related materials to ensure accuracy, consistency, and alignment with firm standards and branding. • Identify opportunities to streamline processes, improve templates, and enhance documentation. • Support special projects and additional administrative or operational needs as priorities evolve.

Job Requirements

  • 1–3 years of administrative, coordination, or support experience (professional services preferred)
  • 3 years Proposal experience
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • High attention to detail and accuracy
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Ability to work collaboratively and maintain confidentiality
  • Exposure to marketing, communications, or project coordination (preferred)
  • Experience with CRM, marketing automation, or project management tools (preferred)
  • Familiarity with branding guidelines or proposal support (preferred)
  • Interest in learning marketing operations and professional services marketing (preferred)

About the Role As a Senior Proposal Manager, you will command strategic vision, orchestrate collaboration, and drive winning solutions that set Alight apart. Responsibilities - Taking full ownership of the complete proposal lifecycle, from initial opportunity assessment to final submission of the most complex, must win proposals. Requirements - 8–12+ years of proposal management experience, ideally in the benefits industry. - Demonstrate ability to lead multiple high stakes projects simultaneously. - Possess exceptional writing, editing, and persuasive communication skills. - Be an influential leader, collaborator, and detail detail oriented under strict deadlines. - Possess advanced proficiency with MS Office (SharePoint, Word, Excel), Adobe Acrobat, and RFP/proposal software. - Able to synthesize complex information and tailor messaging for diverse audiences. Job Summary: The Proposal Coordinator will assist in the planning and development of bids, proposals, and/or proposal response documents, and may manage individual bids with Proposal Manager oversight. The individual will coordinate and schedule proposal team meetings, create and manage response templates, manage required forms, and format and produce final proposals. Job Responsibilities: - Provide support for all proposal artifacts and documents as directed by the Proposal Manager including templates, storyboards, resumes, writer’s worksheets, outlines, assignment lists, etc. - Using existing templates, create and manage proposal documents including Word documents, Excel spreadsheets, and PowerPoint presentations. - Create and manage table of contents, list of figures, list of tables and other administrative aspects of the proposal. - Manage access to documents through SharePoint / Teams. - Assist the Proposal Manager with setting up, organizing and facilitating necessary proposal team meetings and calls. - Take meeting notes including key topics, attendees and action items. Distribute notes to team following each call or meeting. - Determine proposal production requirements, create and manage production checklists, and lead the final production of proposal deliverables. - Coordinate with Graphics Designer to manage proposal graphics, facilitate meetings between Graphics Designer and subject matter expert, and perform quality control of graphics. - Provide quality review of proposal artifacts including formatting look and feel, general editing for grammar and spelling, figure and table numbering, etc. - Support Proposal Manager in other assigned tasks - Read, understand, and adhere to all corporate policies including policies related to HIPAA and its Privacy and Security Rules The list of responsibilities is not intended to be all-inclusive and may be expanded to include other duties that management may deem necessary. Qualifications Required Qualifications/Experience: - Bachelor's degree and at least 3 years of relatable experience to job, Or equivalent relatable work experience. - 3 years minimum experience of proposal coordination experience in Government or Commercial environment.
