Accounts Administrator

• Processing supplier and expense invoices, including high-volume weekly data entry and monthly reconciliations • Ensuring invoices and payments are processed accurately and in line with established policies, procedures, and deadlines • Verifying invoice details and investigating discrepancies or incorrect charges when required • Liaising with senior staff to identify opportunities for cost savings, discounts, or improved supplier terms • Ensuring timely, accurate processing and auditing of weekly payrolls • Managing, maintaining, and updating employee records and documentation • Preparing and issuing employment packs for new employees • Ensuring compliance with company policies, procedures, and employment requirements • Providing day-to-day administrative support as directed by the Office Manager • Assisting and supporting other departments as required • Identifying and communicating opportunities for improving policies, procedures, efficiency, and accuracy • Handling incoming mail and correspondence promptly on the day of receipt • Communicating effectively with internal teams and providing timely support where required • Supporting the Office Manager in achieving key operational and performance outcomes • Maintaining high levels of productivity, accuracy, and quality while meeting deadlines • Demonstrating strong numerical and reconciliation skills • Taking ownership of queries, resolving issues efficiently, and investigating potential cost savings • Contributing positively to other areas of the organization where skills and knowledge allow
Job Requirements
- 1–3 years of experience in accounting or a similar role
- Must have experience in human resources
- Experience handling New Zealand or Australian accounts is required
- Proficiency in MYOB and Xero software is required
- Strong accounts and administrative experience
- Intermediate proficiency in Microsoft Office Suite
- Excellent written and verbal communication skills
- Well-developed interpersonal and people skills
- High attention to detail with the ability to minimize errors
- Ability to work under pressure while maintaining speed and accuracy

• Serve as the primary administrator and functional owner of Anova’s Epicor Kinetic ERP environment • Lead the centralization of operations onto Epicor Kinetic, consolidating processes, data, and reporting across business units • Own system configuration, user roles, security, environments, and release management for Epicor Kinetic (cloud and related tooling) • Plan, test, and execute upgrades, patches, and new module deployments • Partner closely with Operations, Finance, Supply Chain, Manufacturing, and Leadership • Proactively map current-state and future-state processes • Drive continuous improvement by aligning ERP capabilities with operational KPIs and strategic initiatives • Play a key role in Anova’s transition to Epicor Kinetic in the cloud • Collaborate with IT leadership to align Epicor architecture with broader enterprise systems and integration strategy • Design and maintain Epicor configurations, workflows, BPMs, dashboards, BAQs, and reports to streamline business operations • Develop and maintain operational and financial reports, dashboards, and KPIs within Epicor to support leadership decision-making • Lead ERP change management efforts by supporting adoption, communication, and training during rollouts
• Manage and ensure execution of all aspects of the employee long-term incentive plans (Stock Options, RSUs, PSUs, ESPP), including the complete cycle of grant, vest/lapse, and tax withholding processes. • Administer equity compliance with plan documents, award agreements, and regulatory requirements (e.g., Section 16 filings). • Manage the equity platform (Currently utilizing Charles Schwab) and work with the team to ensure that all equity transactions and data are complete, accurate, and properly reconciled. • Provide exceptional customer service and issue-resolution support to employees and executives regarding their equity inquiries. • Collaborate on the development and delivery of employee and executive-level educational materials and resources. • Develop and implement continuous process improvements, including automation projects, for all equity administration and related executive compensation processes. • Serve as the subject matter expert within our equity systems, ensuring optimal configuration and utilization. • Support HR colleagues and external auditors in all employee and executive equity matters, including data requests and complex reporting. • Collaborate with external auditors, tax advisors, and legal counsel on quarterly and year-end activities, regulatory filings, internal controls (SOX), and documented procedures.
