Role Description We are seeking a Manager, Payroll - US PEO to lead the operational delivery, compliance governance, and continuous improvement of our US PEO payroll function. This role owns the day-to-day PEO payroll operating model, manages risk and escalations, and ensures consistent, compliant payroll delivery across a growing PEO client base. The US PEO Manager sits at the intersection of Payroll Operations, Tax, Benefits, Product, and Engineering, translating complex PEO requirements into scalable operating standards. This is a hands-on leadership role requiring deep US PEO payroll expertise, strong people and process leadership, and comfort operating in a fast-scaling, remote-first environment. Qualifications - Several years of US payroll experience, with significant hands-on experience in a PEO environment. - Proven expertise in multi-state US payroll and co-employment models. - Strong knowledge of US payroll tax, benefits, and labor compliance. - Prior experience leading or mentoring payroll professionals. - Ability to operate independently while managing complex, high-risk payroll scenarios. - Excellent communication skills with the ability to explain complex payroll issues clearly to non-experts. • Maintain efficient processes for receiving and validating timekeeping data, pay rate changes, and deductions. • Review timecards and payroll inputs for completeness, accuracy, and compliance with applicable wage and hour regulations. • Process bi-weekly U.S. and applicable international payroll cycles through payroll systems and/or third-party providers. • Ensure employees are paid accurately and on time via direct deposit or applicable methods. • Respond to employee inquiries regarding pay, deductions, taxes, benefit payroll contributions and deductions, and statutory entitlements. • Process wage garnishments, child support orders, and statutory deductions in compliance with jurisdictional requirements. • Prepare and process off-cycle, manual, and special payments (e.g., severance, corrections, bonuses). • Coordinate payroll data for benefit deductions, including but not limited to retirement plans and insurance programs. • Ensure compliance with required global payroll legislation and tax regulations. • Register the company in new states for withholding, unemployment insurance, and workers’ compensation as needed. • Prepare and submit payroll-related filings and reports, including quarterly and annual tax forms. • Prepare, review, and submit bi-weekly 401(k) withholding reports to the Plan Administrator following each payroll cycle; ensure timely and accurate remittance of employee and employer contributions in compliance with plan documents and ERISA requirements. • Reconcile 401(k) contributions between payroll system, general ledger, and plan provider; investigate and resolve variances. • Support annual 401(k) audits and nondiscrimination testing by providing required payroll and contribution data. • Serve as the primary contact for payroll-related audits and inquiries. • Assist with Finance functions and People & Culture projects as required. • Other duties as assigned.
• Perform various tax audits to ensure resident and work location taxes are set up appropriately in our payroll processing system • Perform various compliance audits and calculations to confirm adherence to all Federal, State, and Local requirements. • Review payroll compliance questions by responding or referring to the Internal Tax team • Perform new hire or rehire audits for every Clinician, ensuring they are set up with everything needed to properly compensate them. • Assist with payroll processing through report creation and creation of CSV imports, such as gift cards. • Responsible for garnishment administration and reporting • Work location creation and administration • Ability to process weekly payroll, including any off-cycle payrolls as needed. • Other duties as assigned
