We are seeking a Patient Scheduling Coordinator to support a U.S.-based home care provider by matching caregivers to clients based on their needs. This role is fast-paced and requires someone who can juggle multiple systems, communicate clearly, and take ownership of getting schedules filled efficiently. This role forms part of a collaborative and team-driven environment where individuals are expected to step in, assist, and ensure that all scheduling needs are met. PLEASE NOTE - Working Hours: Monday – Friday | 8:30 AM – 5:00 PM EST (14:30 PM – 23:00 PM South African time – subject to daylight savings). - Public Holidays: This role requires working on both South African and U.S. public holidays (compensation for SA public holidays in accordance with the BCEA). - Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (upload & download) and wired Ethernet capability is mandatory. Applicants without a fixed fibre line cannot be considered. - Power Backup: Reliable backup required to manage load shedding or outages. Applicants without a power backup cannot be considered. - Work Environment: Fully remote Key Responsibilities: - Schedule caregivers for clients based on specific needs and requirements - Engage with clients to understand their care needs and preferences - Coordinate across multiple communication channels (calls, WhatsApp, internal systems) - Manage and update scheduling systems accurately and in real-time - Handle scheduling challenges and last-minute changes with urgency - Collaborate with team members to ensure all shifts are filled - Escalate issues or request support when needed Requirements: - Strong customer service experience - Ability to multitask across multiple systems simultaneously - Excellent verbal and written communication skills (English) - Comfortable working in a fast-paced, high-pressure environment - Strong sense of accountability and willingness to step in where needed - Highly organized with strong attention to detail Advantageous (not required): - Experience working in a medical practice, doctor’s office, or healthcare environment - Background in appointment scheduling, theatre bookings, or practice coordination - Previous management or supervisory experience Ideal Candidate Profile: - Mature, stable, and dependable with strong day-to-day discipline - Resilient and able to handle a demanding, sometimes thankless role - Proactive, hands-on, and willing to go the extra mile to get the job done - Confident communicator who is comfortable asking for help when needed - Able to take constructive feedback and adapt quickly - Team player with a strong work ethic and sense of ownership If you are not contacted within 14 working days, please consider your application unsuccessful.
