Project Billing Senior Associate
DLB Associates
Position Title: Project Billing Senior Associate Position Location: Remote - work virtually from anywhere in the United States Job Summary The Project Billing Senior Associate is responsible for managing the complete billing lifecycle for assigned projects. This role ensures accurate and timely invoicing in accordance with contract terms while partnering with Project Managers to monitor financial performance, manage WIP, and support margin goals. Essential Functions Project Accounting (75%) - Prepare and issue client invoices for T&M, Fixed Fee, Milestone, and Cost-Plus contracts - Review and validate time entries, expenses, subcontractor costs, and supporting documentation - Interpret contract terms to ensure billing compliance - Monitor unbilled revenue and WIP; proactively drive timely billing - Track retainage and ensure proper release - Partner with Project Managers on billing schedules, project performance, and margin awareness - Resolve billing discrepancies and client inquiries - Support month-end and year-end close activities related to revenue and billing - Maintain documentation and audit-ready billing support Audit / Process Improvements (25%) - Analyze billing, cost, and revenue variances - Analyze billed vs. projection and reporting on variances - Ensure project data accuracy by monitoring reporting and auditing projects as needed - ERP master user to review current processes and provide insight for further automation, workflow or process improvements. Completion of Assigned Tasks and Deliverables on Time and on Budget - Performs other related duties as assigned Position Requirements (Intermediate level for all the following) - Experience with multiple contract types (T&M, Fixed Fee, Milestone, Cost-Plus) - Skilled using MS Office Suite (Excel, Word, Outlook, PowerPoint, Teams) - Strong understanding of revenue recognition fundamentals - Ability to work successfully in a remote environment thru effective communication and organizational skills, self-motivation, proactiveness and resourcefulness in a distraction free workspace - Ability to communicate verbally and in writing technical and non-technical information - Ability to identify problems, evaluate alternatives and implement effective solutions - Ability to accurately prepare, update and maintain records, files and reports - Ability to work under pressure and meet close deadlines - Organizational skills, with the ability to manage multiple tasks simultaneously Physical Demands The following physical demands must be met by the employee to successfully perform the essential functions of this job.
