Job Description

Executive, Marketing Admin VA

• Support execution of marketing campaigns across email, SMS, social media, and workshops. • Schedule, test, and QA email and text campaigns. • Build and update email and SMS templates for different pipeline stages. • Monitor campaign performance and flag issues or inconsistencies. • Assist with social media management and basic content support. • Monitor and respond to online reviews and comments as needed. • Perform weekly and monthly data entry and KPI reporting. • Update dashboards and reports in Google Sheets or Excel. • Pull data from multiple systems and consolidate into centralized reports. • Validate data accuracy across platforms and proactively flag discrepancies. • Edit and troubleshoot spreadsheet formulas (including pivot tables). • Assist with annual dashboard rollovers and ongoing report maintenance. • Maintain CRM hygiene, including list cleanup, segmentation, and QA checks. • Support pipeline communication via email and SMS. • Assist with workshop and webinar setup, registrant tracking, and follow-up. • Provide operational follow-through on tactical tasks assigned by leadership. • Close administrative "loose ends" that fall outside core clinical or front-desk duties. • Take direction from the owner and clinic directors. • Work from documented SOPs, checklists, and Loom trainings. • Provide regular updates on task status and completion. • Identify inefficiencies in workflows and propose improvements. • Support one-off administrative and operational projects as needed.

Job Requirements

  • Proven experience in marketing operations, campaign execution, or data-focused VA roles.
  • Strong proficiency in Google Sheets/Excel, including formulas and pivot tables.
  • Excellent written and spoken English communication skills.
  • Highly detail-oriented with strong data accuracy and QA habits.
  • Ability to manage multiple task types without constant supervision.
  • Proactive problem-solver who can troubleshoot issues independently and propose solutions.
  • Comfortable working from SOPs while also identifying gaps and improvements.
  • Reliable, responsive, and consistent with deadlines and follow-through.
  • Must be able to work US business hours (EST preferred).

Role Description CloudFactory is seeking a hands-on Product Marketing Manager to drive product positioning, messaging, and day-to-day product marketing execution for our AI enablement platform. This role works closely with product, marketing, sales, and industry experts to translate complex AI capabilities into clear, compelling value for buyers, analysts, and partners. Reporting to the CMO, this individual will be deeply involved in creating market-facing assets, enabling revenue teams, and actively shaping how CloudFactory’s products are understood in the market. The Product Marketing Manager is responsible for defining and executing CloudFactory’s product marketing strategy. This role ensures our products are clearly positioned, compellingly messaged, and effectively launched to the market. You will lead the development of market-facing assets, competitive intelligence, analyst engagement, and product-led thought leadership, while partnering closely with Product Management and Sales to drive adoption and growth.
