Role Description We are looking for a proactive and highly organized Marketing Associate to support a growing service-based business with marketing coordination, community outreach, and operational support. This role acts as a right-hand partner to the business owner and goes beyond basic administrative tasks. The ideal candidate thinks ahead, stays organized, and helps reduce decision fatigue by bringing solutions and structured recommendations. - Support local marketing initiatives - Coordinate partnerships with nearby businesses - Research events - Assist with scheduling and planning activities Key Responsibilities - Local Marketing & Event Research - Research local events, expos, wellness/fitness collaborations, bridal shows, and community opportunities - Maintain a rolling 60-day marketing and event calendar - Present curated recommendations with cost and ROI estimates - B2B Outreach & Partnerships - Draft and send professional outreach emails to local businesses - Track follow-ups and maintain a partnership pipeline - Coordinate cross-promotions, pop-ups, and perk swaps - Giveaway & Vendor Research - Source branded marketing giveaways - Compare vendors, pricing, MOQs, and turnaround times - Present 2–3 organized options with cost breakdowns - Scheduling & Owner Support - Build and manage weekly staff schedules - Track PTO, coverage gaps, and overtime risk - Coordinate event dates and partnership meetings - Manage owner calendar and protect focus time - Provide weekly priority summaries Requirements - Strong English communication skills (B2 or higher preferred) - Ability to work PST business hours - Highly organized with strong follow-up and documentation skills - Comfortable communicating with external partners and vendors - Ability to work independently and manage multiple priorities AI & Tools (Required) - Comfortable using AI tools to work faster and better, such as: - Using ChatGPT (or similar AI tools) to draft outreach emails, summarize notes, create checklists, and speed up research - Turning messy info into clear calendars, follow-up trackers, and action plans - Basic comfort with tools like Google Workspace and project trackers (Trello/Asana/Monday are a plus) Preferred Experience - Experience as a Virtual Assistant, Marketing Assistant, Coordinator, or Administrative Assistant - Outreach/partnership support or appointment-setting experience - Event research or event coordination experience - Familiarity with CRM or project management tools (HubSpot, GoHighLevel, Trello, Asana, Monday, etc.) - Experience supporting small businesses or service-based companies Work Schedule - 10–20 hours per week - Fully remote - Opportunity for growth and expanded responsibilities
