Role Description Due to continued growth, our team is looking for experienced Event Technology Solutions Specialist contractors to support national conferences during the upcoming 2026/2027 event season. If you have 3+ years of experience implementing or configuring enterprise event management platforms, particularly RainFocus, and are interested in a 6-8 month contract, we'd love to hear from you. Contract Duration: September/October through April/May Responsibilities - Configure and support enterprise event management platforms, with a primary focus on RainFocus. - Build and maintain registration paths, attendee workflows, session management, speaker management, exhibitor management, event websites, surveys, and reporting. - Partner directly with clients to gather business requirements and translate them into scalable platform solutions. - Perform quality assurance testing to ensure configurations are accurate, complete, and ready for launch. - Troubleshoot platform issues and work with internal teams to resolve technical challenges. - Support data imports, exports, integrations, and platform configuration throughout the project lifecycle. - Collaborate with project managers, clients, and other technical specialists to deliver successful conferences from kickoff through onsite support. - Create and maintain clear documentation for system configurations, testing, and implementation processes. - Provide occasional onsite event technology support as needed. Qualifications - Experience implementing enterprise event technology solutions. - RainFocus experience is strongly preferred. - Experience configuring platforms such as Cvent, Stova, Certain, Swoogo, EventsAir, eShow, or other enterprise event management systems is welcome. - Experience with Salesforce, APIs, data imports and exports, reporting, and enterprise SaaS platforms is a plus. Role Description We are looking to add an Account Manager to our team. As an AM, you will assist Account Executives and sales personnel with trade shows. In this role, you will be responsible for working alongside your Account Executive to prepare for events, from gathering graphics, equipment, and labor for show site execution. You will be responsible for delivering a high level of customer service both internally and externally. You will report directly to the SVP. Job can be done remotely with the ability to travel to various shows. Salary is $70-80,000 What You’ll Do: - Work with Account Executives on show graphic requests and any other requests or needs. - Assist in the review, entry, processing, and approvals in all stages of the graphic submittal internally and externally. - Lead and oversee local labor in achieving the goals and timelines outlined for an event mostly as it relates to the graphics process at the show when requested. - Work with the operations manager in identifying and assigning the proper labor and identifying equipment needed for an event as it relates to the graphic distribution, installation, and dismantling. - Enter and maintain job tickets and client information. - Oversee labor onsite and actively work to cut labor jobs while still effectively completing an event. - Assist in qualifying sales leads. - Serve as the face of the company within the local community and industry. • Serve as the primary point of contact for assigned speakers throughout the planning process and onsite experience • Support speakers with session preparation, scheduling, deadlines, presentation collection, and logistics coordination • Coordinate and track speaker deliverables including bios, headshots, presentations, agreements, and related materials • Partner with internal teams including content, registration, housing, AV/production, and client leads to ensure a seamless speaker experience • Maintain accurate speaker tracking documents and provide regular status updates on deliverables and outstanding items • Develop and manage speaker communications, reminders, and deadline-driven outreach • Assist with onsite speaker management including speaker ready rooms, session support, schedule changes, and escalations as needed • Help create a polished, high-touch speaker experience from initial outreach through event execution
• Dedicated to Responding to inquiries and requests via phone, email, web chat, and occasionally onsite at the event. • Travel locally to provide onsite exhibitor services at tradeshows at least 50% of the year. • Assist exhibitors with orders and questions at the Service Desk at the show site. • Working in conjunction with the Project Manager, Freight Representative, Labor Representative, and Account Executive to resolve any issues and ensure all materials and labor are delivered as promised to the exhibitor. • Processing Exhibitor orders, receiving reports, labor orders, display, and graphic rental orders, and bills of lading. • Performing collection duties. • Working through customer-related issues without direct supervision and escalating issues as necessary. • Identifying opportunities to sell Fern products and services to exhibiting organizations. • Other duties as assigned.
