Event Services Representative
Nth Degree
• Dedicated to Responding to inquiries and requests via phone, email, web chat, and occasionally onsite at the event. • Travel locally to provide onsite exhibitor services at tradeshows at least 50% of the year. • Assist exhibitors with orders and questions at the Service Desk at the show site. • Working in conjunction with the Project Manager, Freight Representative, Labor Representative, and Account Executive to resolve any issues and ensure all materials and labor are delivered as promised to the exhibitor. • Processing Exhibitor orders, receiving reports, labor orders, display, and graphic rental orders, and bills of lading. • Performing collection duties. • Working through customer-related issues without direct supervision and escalating issues as necessary. • Identifying opportunities to sell Fern products and services to exhibiting organizations. • Other duties as assigned.
Job Requirements
- 2 or more years of customer service experience.
- Strong computer knowledge, with proficiency in Microsoft Office/365 products, emphasizing Excel, Word, Outlook, and Teams.
- Excellent customer service skills
- Exceptional communication (verbal and written) and interpersonal skills.
- Ability to learn internal systems (exhibitor portal, graphics system, order system, etc.)
- Experience working independently and participating as a team player to achieve departmental and company goals.
- In a fast-paced environment balance multiple tasks and meet deadlines.
- The successful candidate is confident, assertive, flexible, and required to work well under pressure in a time-critical environment.
- Must be detail-oriented, possessing exceptional organizational skills.
- Maintain a positive "can-do" attitude.
- Comfortable with traveling 20-30% of the time.

Role Description We have an exciting opportunity for an Office and Administration Coordinator to join our team! This is a varied and hands-on role that sits at the heart of AIGI’s day-to-day operations. A significant component of the role involves providing dedicated executive assistant-level support to the CEO, coordinating travel, managing stakeholder meetings, and preparing briefings and documentation for executive activities. Alongside this, the role ensures the smooth running of office operations, WHS compliance, and event logistics across the organisation. - Providing dedicated executive assistant support to the CEO, including diary and inbox management, travel coordination, stakeholder meeting management, and researching and preparing briefings and documentation for executive activities - Supporting the CEO with governance-related administration and communication with the Board and key stakeholders - Coordinating Board and sub-committee meetings, including preparing agendas, booking venues and travel, and providing secretariat support - Coordinating domestic travel for staff, associates, and participants, liaising with Corporate Traveller as required - Overseeing general office services and supplier relationships, including monitoring the AIGI inbox and phone line, and managing stationery, couriers, and workspace maintenance - Managing IT equipment provisioning and maintaining the internal equipment register - Assisting the Finance and Administration Manager with financial administration tasks, including drafting bills and coding expenses - Administering WHS compliance activities, including onboarding and refresher training, maintaining registers, managing contractor documentation, and coordinating remote work check-in systems - Organising logistics for in-person Board meetings and biannual staff offsites, including venue hire, catering, travel, and scheduling, ensuring WHS and accessibility requirements are met - Any additional tasks that align with your role and responsibilities as directed by the CEO or leadership team Qualifications - Demonstrated experience in office or business administration, preferably in a not-for-profit or Indigenous organisation - Demonstrated experience working with Indigenous organisations, communities, and individuals - Proficiency in office coordination including diary and inbox management, travel booking, and minute-taking - Experience providing executive-level support to a CEO or senior leaders - Experience organising Board or executive-level meetings, including preparing agendas and taking minutes - Knowledge of WHS administrative requirements - Confidence managing external suppliers and service providers (e.g. couriers, IT support, Telstra) - High-level organisational and time management skills - Ability to work effectively both autonomously and as part of a team Company Description The Australian Indigenous Governance Institute (AIGI) is an Aboriginal and Torres Strait Islander organisation recognised for leadership and excellence in Indigenous governance. • Plan, execute, and track marketing programs, integrated across regions and channel mix: events, webinars, paid and content marketing • Support and lead the planning and execution of all regional marketing activities in the Americas, encompassing third-party conferences, and digital marketing programs • Work hand-in-glove with the regional Sales team to ensure all activities are aligned with territory goals, generating high-quality attendance, and ensuring effective lead capture and accelerated follow-up to hit pipeline targets • Own the regional selection process and manage detailed event budgets, ensuring cost-effectiveness, optimal resource allocation, and a clear path to demonstrating marketing ROI • Oversee all logistical aspects of event execution, including vendor sourcing/coordination, venue selection, materials development, and seamless on-site management. • Partner closely with Marketing Operations, Sales Enablement, Product Marketing, and Design to ensure consistent messaging, seamless event integration, and proper data flow for campaign tracking • Track, analyze, and report on the performance of all regional campaigns and events, specifically focused on pipeline influence, opportunity creation, and revenue impact
