Job Requirements
- 8-9 seasoned contractors for our sponsorship team
- Own sponsor-specific deliverables/components for client events
- Review current delivery practices and make recommendations for improvement
- Meet with internal and external customers to accurately determine needs
- Participate in the build-out and maintenance of the Exhibitor Resource Center (ERC)
- Support sourcing, budgeting, and fulfillment of marketing promotion opportunity deliverables
- Create and deploy communications to exhibitors
- Manage sponsor-related portions of master event timeline
- Manage initial discussions of broad logistics and deliverables
- Manage or participate in weekly sponsor and vendor calls
- Provide sponsors with required specs on package deliverables
- Manage sponsor meeting room and theater session assignments
- Manage on-site sponsor needs and relationships
- Ensure logos, graphics, and video files are supplied correctly
- Manage or participate in post-event reporting with sponsor

This role sits on the People team, which means you will work at the intersection of culture and be aligned with company strategy. This is a hands-on production role at its core. The person who thrives here has spent years building and executing complex, multi-day gatherings from the ground up and carries that operational depth into every decision they make. If your background is primarily in communications, program management, or adjacent functions, this role is not the right fit. What You Will Do - Camunda Kickoff (Primary Ownership) - Own the Camunda Kickoff event end-to-end, from the first site visit to the final retrospective. - Lead all logistics: venue sourcing, contract negotiation, travel coordination, rooming, F&B, AV, and on-site execution, while managing an agency to assist. - Manage a network of external vendors with clear SLAs, budgets, and accountability. - Partner with the CEO, CPO, and functional leaders to shape the agenda and ensure it reflects company strategy and priorities. - Curate content that is substantive and engaging, working with presenters on narrative, flow, and relevance. - Build and manage the event budget, track actuals, and report on spend. - Lead post-event retrospectives and apply learnings to the next cycle. - Culture and Connection Programming - Identify and execute moments that reinforce Camunda culture throughout the year: team milestones, recognition events, and seasonal touchpoints. - Partner with People Business Partners and the broader People team to ensure programming reflects where the company is and where it is going. - Advise on the events calendar holistically, prioritizing impact and avoiding Camundi fatigue. - Operational Excellence - Build scalable processes for event planning, vendor management, and stakeholder communication that the broader team can use. - Maintain and evolve the internal events playbook. - Track and report on event effectiveness using clear metrics tied to attendance, engagement, and feedback. Role Description Reporting to the Executive Director, Enterprise and Executive Events, this position will be accountable for a distinct subset of the department's two differentiated event portfolios – Foundation (high-profile donor cultivation and stewardship) & Enterprise (events and programs that communicate and enhance the Children's Hospital of Philadelphia's reputation for excellence).
